Administrative Support Specialist Jobs in Mesquite, TX at Rolling Plains Construction
Administrative Assistant will provide a high level of administrative support to the division chair and the faculty/staff of the Division of Pharmaceutics and Pharmacology within the OSU College of Pharmacy. This position will be responsible for assisting the chair in monitoring and managing the division’s financial performance, including the supplies and services budget and the division’s release time funds; monitoring faculty allocations, including release time and start-ups funds; working with the College Business Office on spending trends and budgetary needs to the division and faculty; responsible for challenging schedule management and maintenance, requiring independent decision making to coordinate the chairperson’s daily activities; arranging travel for visiting speakers and guests; utilizing Workday to process and manage procurement; scheduling meetings and preparing meeting agendas and composing and maintaining meeting minutes; advising division chairperson, faculty, and staff on university, college and division policies and procedures; assisting and supporting division chairperson in providing effective communication, logistical support and organization for the division; responding to and composing correspondence for the divisional chairperson; handling confidential matters professionally and appropriately; scheduling and facilitating division seminar series, including travel for outside speakers; assisting with divisional faculty and graduate student recruitment efforts; overseeing collection and organization of faculty promotion and tenure documentation; assisting with divisional faculty recruitment; assisting search chairs in the Strategic Hiring Initiative for Faculty Talent (SHIFT) process; keeping and maintaining faculty CVs and biosketches; assisting with the management, tracking and implementation of financial documents including the division budget; assisting with pre-grant management; maintaining area office supplies; sending parcel mail; working productively as a team member; and performing related and/or additional job duties as assigned by direct supervisor.
Required Qualifications: High School diploma or GED is required. Applicant must have a minimum of 2 years relevant experience serving in an administrative capacity (considerable experience with Microsoft Office programs such as Word, Powerpoint and Excel; and excellent verbal and written communication skills along, with the ability to multi-task).

Desired Qualifications: A Bachelor’s degree in business administration or related field, or an equivalent combination of education and experience is desired; considerable knowledge of university policies and procedures, including expenditure policies, procurement and travel (utilizing Workday); strong problem solving skills.
The pay range for this job profile is $43,910 – $57,760. The offer for this position will fall within this range based on internal equity, unit’s available budget, and the candidate’s qualifications.
