JOB DEFINITION:

The Administrative Support Supervisor is responsible for ensuring the smooth functioning of our front desk administrative team so that all clients, staff, and community partners who come to our offices have a positive, high-quality experience. To this end, the Administrative Support Supervisor supervises front desk staff at the 515 3rd Ave., 216 James St. offices as they complete a wide range of reception, clerical, data-processing, and other office management functions. The Supervisor also participates in the duties of the team and provides coverage, as well as evaluating and implementing work procedures and standards to improve efficiency and effectiveness of assigned responsibilities. As part of the Administration and Planning department, this person contributes to other agency-wide projects as needed. This role reports to the Director of Administration and Planning.

MAJOR DUTIES AND RESPONSIBILITIES:

Office operations:

Provide leadership and coordination for staff from several administrative and teams, particularly at the 515/513 3rd Ave Administrative office.

Ensure smooth operation in variety of areas, including: ordering and maintaining office and operating supplies; office equipment maintenance and repair.

Coordinating secure disposal of documents; tracking use of agency vehicles, gas cards and bus tickets; compiling agency surveys. Maintaining key agency-wide documents and forms including calendars & phone lists.

Ensuring calls are screened and directed to the appropriate department or person.

Ensuing mail is sorted and routed to the appropriate mailboxes in a timely manner.

Ensure lobby spaces are maintained in a clean and orderly fashion.

Supervise administrative support staff:

Provide ongoing training and coaching to all front desk staff at 515 3rd Ave, 216 James St., offices through regular staff meetings as well as 1:1 supervision meeting.

Support staff through conflict resolution, effective time management, workload allocation and individual staff development. Oversee staff schedules and arrange appropriate coverage during staff absences.

Provide backup coverage at the front desk by answering the phone and greeting clients and visitors, including providing daily lunch/break coverage at 515, and coverage at other office sites as needed.
