ADMINISTRATIVE ASSISTANT II -REFERRAL SUPPORT– Early Intervention/Early Childhood Special Education (EI/ECSE)

Classification: Classified 220 day Calendar

Reports to: Early Intervention Early Childhood Special Education Program Coordinator

FLSA Status: Non-Exempt

POSITION OVERVIEW

Referral support, scheduling, and developmental intakes are essential components of the EI/ECSE program. This role often serves as a family’s first introduction to our services. Through evaluations, we determine whether children qualify for EI/ECSE support.

This position works closely with staff across the three counties and coordinates with other evaluation services offered by the ESD. As the primary point of entry for student-focused services, this role acts as the main contact for evaluators, community partners, site coordinators, LBL service providers, and families.

QUALIFICATIONS

1. High School diploma or equivalent.

2. Demonstrated knowledge and skills using word processing, database, and spreadsheet software with a high level of accuracy.

3. Demonstrated effective communication skills, including use of telecommunication systems.

4. Working knowledge of basic office procedures and the operation of common office equipment and machines.

5. Experience in the K-12 educational setting is preferred, but not required.

6. Spanish bilingual skills preferred, but not required.

7. Such alternatives to certain above qualifications may apply as deemed appropriate by the Superintendent and/or Board of Directors.

GENERAL INFORMATION

This position has the following expectations and prerequisite abilities.

4. Exceptional prioritization of tasks, timely completion of work assignments, ability to take the initiative and work independently with minimal supervision.

5. Demonstrates respectful, flexible and effective teambuilding skills of cooperation, communication and active participation.

6. Present self and LBL in a professional manner including: in oral and written communication, professional disposition when working with others and maintaining professional dress standards.

7. Ability to understand and follow oral and written directives, find requested data and present in user-friendly formats for internal and public distribution.

8. Maintain regular attendance at work. Be punctual in meeting deadlines, attending meetings, and following schedules.

9. Utilize teleservice platform to provide services to educators, students and district staff as directed.

10. Ability to lift, carry at least 25 pounds.

11. Ability to sit for extended periods of time in a vehicle or work setting.

ESSENTIAL FUNCTIONS

1. Assist with the coordination of evaluations to successfully achieve program and agency goals.

2. Generate, maintain, distribute, and track all referral files for evaluations.

3. Work cooperatively with and respond to requests from other program administrators.

4. Consult with program directors regarding paperwork compliance and referral distribution.

5. Respond to district requests professionally and in a timely, accurate basis.

6. Follow up and track all communication with families and staff regarding referral process.

7. Maintain a calendar of all evaluations being completed with all appropriate details within the EI/ECSE program.

8. Schedule evaluation appointments with parents and inform evaluation team.

9. Maintain a database of records required for reporting to program directors and constituent district leadership.

10. Generate reports on a regular basis for each program director, specific to each program’s needs.

11. Provide high degree of confidentiality when assisting in preparation of confidential student records.

SALARY AND BENEFIT INFORMATION

Salary and benefit information shown are based on full-time employment (1.0 FTE) based on the current school year
Placement on the Linn Benton Lincoln ESD Classified salary schedule will be commensurate with applicant’s qualifications, relevant training, and experience
Linn Benton Lincoln ESD will provide an Insurance CAP to assist with health, dental and vision insurance premiums
