Objective: The Operations Executive Assistant provides administrative support to the CEO, Vice Presidents, Operations Directors, and Managers. In addition, the assistant provides some front-line HR support with onboarding new hires in operations. Specific duties may vary according to the needs of the administration.

Essential Duties:

Know and enthusiastically support the Mission, Vision and Values of MMR.
Under the general direction of the CEO, facilitate and support executive leadership in a variety of administrative activities, including meeting attendance. This may require the flexibility of working early or late evening, potentially some weekend days.
Responsible for composing, editing, and typesetting proposals and presentations, attending various operational meetings, and scribing for those meetings. Type and compose written communications such as correspondence, contracts, etc. Process confidential reports.
Maintain corporate files and confidential materials on all matters concerning MMR. Review and update files annually.
Coordinate special projects as assigned, using various software and design programs such as Microsoft Office and Canva. Learn new software programs as needed for the organization to support Operations, including other departments such as Education, Marketing, HR, IT, Fleet, and MedCom.
Serve as administrative liaison to the Board of Directors, attending, recording, and distributing minutes for the Board of Directors and Finance Committee—schedule meetings as required throughout the year.
Serve as a contract coordinator for all MMR contracts. Monitor expirations and coordinate renegotiation efforts. Serve as the primary master of DocuSign; work with vendors to review contracts annually and recommend contract renewals to the executive team.
Responsible for vehicle licensing, insurance, accident reporting, and liability for all MMRs operational fleet. This includes regularly visiting the Secretary of State to obtain license plates and registrations.
Serve as primary lead with outsourced medical records vendor ChartRequest. Support MMR Compliance Officer with duties as needed.
Responsible for scheduling of special events for all Operational divisions.
Assist with special community initiatives and PR internal events, such as the MMR community garden, EMS week planning and coordination, and other internal events that require preparation, set-up, and tear-down.
Support social media and recruitment efforts as needed in Operations and Marketing.
Perform other duties as assigned.

Knowledge, Skill and Competency Requirements:

Required: Bachelor’s degree in business or close association to business; Associates degree will be considered based on job experience.
Minimum three years related experience as an executive assistant or similar role.
Well versed in office skills, including grammar, spelling, telephone and interpersonal skills and organization
Advanced computer skills including the ability to utilize a computer PC with Windows operating system, along with
Ability to operate office equipment.
Proficiency with Microsoft Office: Word, Excel, and Powerpoint.
Skilled in typing, data entry, electronic filing and document retrieval
Ability to communicate effectively both verbally and in writing, in a professional manner
Self-motivated and able to work closely with others
Accurate, detail-oriented, and able to manage time efficiently to handle multiple projects
Must be able to prioritize effectively to meet deadlines
Ability to be creative in developing presentations for the company
Ability to perform a variety of tasks from challenging to simple, often changing assignments on short notice
Organizational abilities: speak and write clearly and effectively; working knowledge of federal and state laws regarding safety; ability to work with leaders at all levels of the organization
Proactive approach to problem solving
Must have a current Michigan driver license and maintain an acceptable driving record as defined by MMR’s insurance carrier
Must be at least 18 years old

Physical Factors: Suitable dexterity to operate standard office equipment. Capability to stand or sit for extended periods. Required activities: reaching, bending, stooping, grasping, feeling, repetitive motions, talking, hearing and visual activity. Capable of sitting or standing for extended periods.

Working Conditions: Most work is done in a typical office setting. Inside work is about 85%; however, this job will entail outside work on occasion (i.e., community garden, going to the Secretary of State regularly).
