As the Essential Connections Operations Coordinator, you will work directly with the Director of Essential Connections, playing a vital role in ensuring seamless operations. No two days will be the samethis is an exciting, hands-on position where your organizational skills and problem-solving abilities will shine!

Starting salary for this position is $22.90-$25.65 per hour DOE

Full range is $22.90-$36.17 per hour

Position Summary: The Essential Connections Operations Coordinator reports directly to the Director of Essential Connections and provides a full range of administrative support to the Director. This position will vary by the day and by the need. The position will provide assistance with grant writing, reporting, scheduling, data entry, budgeting, procurement, preparing correspondence among other critical tasks to supporting the operations of the Essential Connections Core.

Supports operations as needed which may include: data entry and word processing; reviewing invoices & creating purchase orders; creating reimbursement requests; organizing documents & data; creating meeting minutes; scheduling service appointments; occasionally covering phones & email; assisting with vendor & partner communications; responding to inquiries about programs; performing Essential Connection programs project reviews for compliance with federal, state & local requirements; closing out project files; establishing client and contractor agreements; making travel arrangements for staff; and collecting and reviewing client eligibility documentation.
Assists with the planning, implementation, and quality control of multiple programs.
Authorizes department purchase orders as needed.
Assists with a variety of special and short-term projects. Represents SNAP for conference planning and other events as they arise for Core staff.
Supports the Core in obtaining and maintaining grants by understanding the terms of grants and assisting with applications, reports, closeouts, contracts, policy changes, and compliance.
Represents SNAP as needed with partners and funders.
Develops and maintains program metrics and dashboards to track key performance indicators and/or outcomes. Analyzes the data to determine where process improvement is needed.
Works with SNAPs MIS Department to follow up on work requests, order new equipment, assist with internal equipment problems, etc.
Electronic tracking and distribution of Essential Connections contracts, grants, dashboards, and program monitoring.
Provides excellent customer service at all times as well as helps to grow the customer service culture within the agency.
Completes assigned projects and performs related duties as needed or as the situation dictates
Within the context of the stated principle job duties, serve as an ambassador of SNAPs mission and values.
Works with coworkers and volunteers to promote a positive, respectful and productive environment, while protecting client and co-worker confidentiality.

REQUIREMENTS:

Education and Experience:

Required: Four years full-time experience in administrative support, Executive Assistant, Office Manager, Project Manager, Lead position or related combined experience.

Preferred: A bachelors degree and five years full time (or equivalent) experience in administrative support, Executive Assistant, Office Manager, Project Manager, Lead position or related combined experience.

Ability to make travel arrangements, write purchase orders, and complete forms in an accurate and complete manner.
Ability to compose accurate, grammatically correct, professional business correspondence.
Aptitude to empathize with and advocate for individuals with diverse backgrounds and needs, including those from low-income households.
Ability to operate various office machines, copiers, etc.
Maintain a sense of humor, compassion and patience.

Training and Certifications

Valid drivers license, satisfactory driving record, personal vehicle and insurance for

Agency business (mileage reimbursed).

Work Environment/Physical Activities:

Work is conducted in an office environment, in an office location that can be highly

stressful at times. Some lifting of office materials/deliveries may be required up to 25 pounds. May deal with difficult people, sometimes in crisis situations. Local travel during periods of inclement

weather and occasional out-of-town travel to conferences and/or training may be

necessary.
