Administrative Support Worker- Atlantic City Public Schools Jobs in Atlantic City, NJ at Aramark

We are looking for an Executive Assistant to perform a variety of administrative tasks and support our company’s senior-level managers with field and office operations. To be successful in this role, you should be well-organized, have great time management skills and be able to act without guidance, when necessary.

Responsibilities Include:

Email Management: Oversee and manage the executive’s email correspondence, ensuring seamless communication with clients, subcontractors, vendors, and internal teams. Prioritize urgent messages, draft and respond to routine inquiries, and maintain an organized inbox by categorizing project-related emails, contracts, RFIs, and compliance documents. Proactively follow up on pending approvals, bid submissions, and meeting requests to keep operations running efficiently.
Calendar Management: Manage the executive’s calendar, including scheduling meetings, appointments, and travel arrangements. Ensure all commitments are met and schedules are optimized for efficiency.
Meeting Coordination: Arrange and prepare for meetings, including setting up conference rooms, preparing agendas, and taking minutes. Follow up on action items from meetings to ensure timely completion.
Travel Arrangements: Plan and coordinate travel itineraries, accommodations, and transportation for the executive team. Prepare and distribute detailed itineraries for business trips.
Documentation: Prepare and edit reports, presentations, and other documents as required by the executive team. Maintain and organize physical and electronic filing systems for executive documents.
Communication: Facilitate communication within the organization by drafting and distributing memos, announcements, and other information on behalf of the executive team. Handle incoming and outgoing communications, including emails, phone calls, and correspondence.
Project Management: Assist in the planning and execution of projects, ensuring tasks are completed on time and within scope. Monitor and follow up on project deadlines and deliverables, providing updates to the executive team.
Event Planning: Plan and coordinate company events, meetings, and conferences, including logistics, catering, and accommodations. Handle logistics for events, ensuring all necessary arrangements are in place.
Confidentiality and Discretion: Maintain the confidentiality of sensitive information and handle all matters with discretion. Ensure the security and proper handling of confidential documents and information.
Office Management: Monitor and order office supplies for the executive’s office, ensuring it is well-stocked and organized. Coordinate maintenance and repairs for the executive’s office and equipment.
Alignment with Mission, Vision, and Core Values: Understand and support the company’s mission. Contribute to achieving the company’s vision. Uphold and promote the company’s core values.

Requirements:

High School Diploma.
Experience with MS Office.
Affinity for technology and systems.
Superb professionalism.
Expert verbal and written communication skills.
Familiarity with office equipment and setting.
Ability to think critically and without oversight.
Experience as an Admin, Personal, or Clerical assistant is a plus.
Outstanding time management skills and organization.
Eagerness to learn.

Job Type: Full-time

Pay: $26.00 – $32.00 per hour

Expected hours: 30 – 45 per week
