We’re seeking a dedicated Assistant to join our software incubator. You’ll closely support our CEO in managing professional responsibilities and personal tasks while safeguarding my family time, health, wellness, and personal commitments.

A Dream Candidate:

Demonstrates strong calendar and email management skills, with experience juggling multiple priorities and schedules.
Shows proficiency in coordinating both business and personal commitments effectively.
Maintains organized systems for following up on tasks and project status updates
Communicates professionally with various stakeholders, from team members to parents.
Exhibits the ability to handle confidential information and financial tasks with discretion.
Takes initiative in anticipating needs and creating efficient processes for routine tasks

Key Responsibilities

Inbox & Calendar Management: Maintain Inbox ZERO, prioritize emails, respond confidently when appropriate, and ensure Levi’s calendar is structured efficiently.
Project & Task Management: Oversee project deadlines, track progress, and ensure execution of key initiatives.
Daily Briefing: Provide a structured morning report ready by 6 AM PST, Monday-Friday.
Monthly Briefing: Prepare a structured monthly report by 6 AM PST, Monday-Friday.
Meeting Preparation & Follow-Up: Draft agendas, record notes using Otter.ai, and track action items.
Travel & Personal Logistics: Plan itineraries, coordinate family trips, and finalize logistics for personal and business travel.
Marketing & Competitive Research: Conduct industry research, oversee marketing initiatives, and track engagement.
Process Documentation: Standardize and document workflows, ensuring operational consistency.
Prospect Calling: Make 10 calls per day to target prospects
Customer Wellness Checks: Making calls to key customers to see how they’re doing

Requirements

-2+ years of previous Assistant, VA, or EA experience
-Experience with managing project management software
-Able to create engaging social content
-Work PST Hours from 7 am – 3 pm
