Description
The Department for Medicaid Services (DMS) provides health care access for eligible low-income residents of Kentucky including children, families, pregnant women, the aged and the disabled as well as a number of programs and services directed at specific eligibility and medical needs. DMS strives each day to meet the mission of the Cabinet for Health and Family Services (CHFS) to be a diverse and inclusive organization providing programs, services and supports that protect and promote the health and well-being of all Kentuckians and their communities.

The Division of Health Plan Oversight is seeking an Administrative Specialist Senior that will provide support to the Director and Assistant Directors. In this position you will have involvement in a broad array of Medicaid programs such as the External Independent Third-Party Review, Managed Care, and the Kentucky Health Benefit Exchange. You will make a difference everyday in the lives of fellow Kentuckians.

Responsibilities include but are not limited to the following:
Provides professional support to the director and management staff, assists with division accounting and general administrative needs. Assists with division, department, state and federal reporting
Provides professional support to the director and management staff; prepares memos and documents, schedules meetings, makes travel arrangements and maintains calendars and reports; monitors director’s email account in his or her absence; maintain logs and assists assistant director in keeping work organized; monitors work that has been assigned to others by the director.
Monitor and research inquiries to division’s email inboxes, past emails, and other resources, provides first line answers to email inquiries. Routes more complex email inquiries to other team members appropriately.
Provides general information to others; interprets office procedures for employees; answers phones for the division; compiles and prepares data for documents; disseminates information to division staff.
Catalogues and orders supplies by retaining, tracking, and auditing inventory of the Kentucky Health Benefit Exchange (KHBE) promotional supplies and other equipment.
Other duties as assigned.
Skills and Expectations include, but are not limited to:
Medicaid or Health Insurance Knowledge preferred.
Mastery of all Microsoft Programs (Outlook, Excel, Word, Power Point and Teams).
Great organizational skills.
Excellent written and verbal communication skills.
Ability to work independently.
Ability to pay attention to detail.
Ability to be a team player.

Minimum Requirements
EDUCATION: Graduate of a college or university with a bachelor’s degree.
EXPERIENCE, TRAINING, OR SKILLS: Three years of professional, administrative, or business experience.
Substitute EDUCATION for EXPERIENCE: Additional education will substitute for the required experience on a year-for-year basis.
Substitute EXPERIENCE for EDUCATION: Additional administrative, business, research, and/or clerical experience will substitute for the required education on a year-for-year basis.

Working Conditions
Incumbents working in this job title primarily perform duties in an office setting.
Probationary Period
This job has an initial and promotional probationary period of 6 months, except as provided in KRS 18A.111.
