CLASSIFICATION SPECIFICATION

CLASSIFICATION TITLE: ADMINISTRATIVE ASSISTANT

AGRICULTURAL CENTER

PURPOSE OF CLASSIFICATION

The purpose of this classification is to assist and/or coordinate activities and events of the Jackson County Agricultural Facility as assigned by the Agricultural Manager. Performs routine administrative and clerical task associated with daily functions of the Agricultural Facility.

ESSENTIAL FUNCTIONS

The following duties are normal for this position and are a representative sample. Position assignments may vary. The omission of specific statements of the duties does not exclude them from the classification if the work is similar, related, or a logical assignment for this classification. Other duties may be required and assigned.

Assists the Facility Manager in planning and conducting activities and functions planned and conducted solely by the Agricultural Facility staff.

Coordinates and maintains the calendar of events at the Jackson County Agricultural Facility on the County Website, Jackson County Agricultural Facility Facebook Page, and the calendars maintained in the Jackson County Agricultural Facility office.

Performs routine clerical and administrative tasks.

Follows up, sends contracts to all upcoming event organizers and files, and maintains these contracts.

Collects deposits, balances for all renters, and maintains the financial records and deposits from the Jackson County Agricultural Facility.

Maintains the Jackson County Agricultural Facility Office calendar, files, and aesthetics.

Serves as courteous receptionist to callers

Operates basic office equipment including a phone system, copier, fax machine, scanner, personal computer, printer, and related machinery; utilizes word processing, database, spreadsheet and related programs in performing daily tasks.

ADDITIONAL FUNCTIONS

Performs other related duties as required.

MINIMUM QUALIFICATIONS

High School Diploma or equivalent. Experience or acquaintance with event planning and organization is preferred, a minimum of 2 years’ experience overseeing the daily office operations and routine task associated with clerical office duties, experience in office management a plus. Any equivalent combination of education, training, and experience, which provides the requisite knowledge, skills and abilities for this job, will be considered. Must possess and maintain a valid driver’s license in good standing.

Data Utilization: Requires the ability to determine, calculate, tabulate, or summarize data/information. Includes performing subsequent actions in relation to these computational operations.

Human Interaction: Requires the ability to apply principles cooperative work and pleasant interaction with clientele.

Equipment, Machinery, Tools, and Materials Utilization: None required

Verbal Aptitude: Requires the ability to utilize a wide variety of reference and descriptive data and information. Must practice the ability to converse pleasantly and intellectually with others.

Mathematical Aptitude: Requires the ability to perform addition, subtraction, multiplication, and division; the ability to calculate decimals and percentages; the ability to utilize principles of fractions; and the ability to interpret graphs and blueprints.

Functional Reasoning: Requires the ability to carry out instructions furnished in written, oral, or diagrammatic form. Involves semi-routine standardized work with some latitude for independent judgment concerning choices of action.

Situational Reasoning: Requires the ability to exercise judgment, decisiveness and creativity in situations involving a variety of generally pre-defined duties, which are often characterized by frequent change.

ADA COMPLIANCE

Physical Ability: Tasks require the ability to exert moderate, though not constant physical effort, typically involving some combination of climbing and balancing, stooping, kneeling, crouching, and crawling, and which may involve some lifting, carrying, pushing and/or pulling of objects and materials of moderate weight (12-20 pounds).

Sensory Requirements: Some tasks require the ability to perceive and discriminate colors or shades of colors, sounds, odor, depth, texture, and visual cues or signals. Some tasks require the ability to communicate orally.

Environmental Factors: Tasks may require exposure to such environmental conditions as dirt, dust, pollen, odors, wetness, humidity, rain, fumes, temperature and noise extremes, machinery, vibrations, electric currents, traffic hazards, toxic agents, violence, disease, or pathogenic substances.
