We are seeking a detail-oriented and organized Office Assistant with QuickBooks experience to join our team at a busy drug screen collection facility. In this role, you will provide essential administrative support, assist with financial recordkeeping using QuickBooks, and help with day-to-day operations within the facility.
Key Responsibilities:
Administrative Support:
Answer phone calls and direct inquiries to appropriate departments.
Maintain and organize office files, both digital and physical.
Handle customer service inquiries related to appointments and test results.
Schedule appointments for drug screenings and ensure smooth client flow.
Assist with inventory management of testing materials and supplies.
Prepare reports and assist in preparing documentation for regulatory compliance.
QuickBooks & Financial Assistance:
Process and record daily transactions (payments, invoices, etc.) in QuickBooks.
Reconcile accounts and prepare financial reports for management.
Assist with billing and invoicing for drug testing services.
Monitor accounts payable and receivable.
Assist with payroll-related tasks and data entry.
Operational Support:
Assist in the management of client appointments, ensuring timely scheduling and adherence to facility protocols.
Complete accurate and efficient specimen collection.
Maintain accurate documentation of test results and associated paperwork.
Ensure compliance with safety and confidentiality standards related to drug screening procedures.
Help with general office tasks, such as ordering office supplies and maintaining a clean work environment.
Job Type: Full-time
Pay: $18.57 – $20.00 per hour
