The Kaish Family Art Project seeks an exceptional, highly organized, proactive Administrator to join our team. This is a unique opportunity for someone who enjoys both administrative excellence and creative project management and is excited by the opportunity to help realize exhibitions, publications, events, and public programs. Working closely with the Director, we are looking for a self-starter who takes ownership of projects, enjoys creating order from complexity, and thrives in a dynamic, mission-driven arts environment.
Please note this is an onsite position on Manhattan's Upper West Side, 20 hours per week, afternoons only, Monday through Friday.
Responsibilities
- Oversee the day-to-day administration of the organization and studio, maintaining office systems, supplies, files, and records
- Maintain digital and physical project files, ensuring accurate organization, version control, and accessibility
- Manage incoming and outgoing mail, shipments, and deliveries
- Track expenses and maintain administrative documentation
- Schedule meetings, coordinate calendars, organize Zoom sessions, and prepare related meeting materials
- Maintain timelines and project trackers for exhibitions, publications, events, and outreach initiatives
- Coordinate logistics with designers, printers, photographers, videographers, caterers, public relations consultants, and other external vendors
- Assist with the planning and execution of exhibition openings, book launches, receptions, lectures, and other special events
- Track photography, videography, media coverage, and related project documentation
- Support the production of publications, exhibition materials, and other organizational communications
- Manage and regularly update CRM and Mailchimp mailing lists
- Assist with drafting social media content across Instagram, Facebook, and LinkedIn
- Prepare the studio for meetings and visitors by assembling artist biographies, chronologies, and other materials, coordinating hospitality, and ensuring a welcoming and professional environment
Qualifications
- 3+ years of professional experience in a gallery, museum, artist studio, nonprofit, cultural institution, or comparable administrative environment
- Demonstrated success managing projects, schedules, and organizational systems
- Outstanding organizational skills and meticulous attention to detail
- Demonstrated ability to anticipate needs, exercise sound judgment, and solve problems independently
- Ability to manage multiple priorities while meeting competing deadlines
- Excellent written and verbal communication skills
- Professional, collaborative, and resourceful approach to work
- Proficiency in Microsoft Office, Google Workspace, Mailchimp, CRM/database management, and digital file organization
- Working knowledge of Adobe InDesign; familiarity with Adobe Photoshop is a plus
- Interest in modern and contemporary art and enthusiasm for supporting artist-centered projects
Compensation
$35–45 per hour, commensurate with experience.
