The company oversees more than 20 specialized crews managed by experienced Foremen and Superintendents.

Position Summary:

The Administrator will play a crucial role in supporting Sales and Operations teams company-wide, with a focus on the North branch operations and office management. The Administrator will liaise with Project Managers to coordinate job operations and tracking in company system – this includes assistance with completion of bid package preparation, pre-job set-up in company system, contract generation, change orders, billing, subcontractor agreements/follow-up, job close out process, post-job filing and warranty requests. This position will play an important role by assisting the Sales and Operations teams to help the business maximize operational efficiency, loss prevention, and revenue generation.

Reports to: North Operations Manager

Hours: M-F, 8am – 5pm

Salary Range: $45,000 – $55,000 Annual, dependent upon experience

Responsibilities:

· Responsible for preparing new job set up – request Insurance certifications, fill out Bond Request Forms as needed, create Submittal packages with assistance of Project Manager, create Schedule of Values, and make job folders/binders as requested

· Generate documents for American Institute of Architects (AIA)/PEM/EJCDC as needed, including:

o Contracts (A101, A102, A104)

o Billing (G702, G703)

o Change orders (G701)

o Time & Materials (T&M) job contract creation

· Subcontractor agreements and follow up

· Job close-out process – generate substantial completion, final completion documentation, request final Vendor Release, request warranty, create Warranty Package for Engineers/Owners, audit job file prior to final filing, file dead proposals/job files/AR files

· PGT warranty claims processing as needed

· Safety Committee – Meeting coordination, notes, follow-up

· Occasionally assist the VP & Executive team with preparation of presentations in support of senior leadership meetings

· Assist the Sales and Project Management teams, when needed, in the creation of proposal packages, job tracking, and job closeout

· Perform ad-hoc requests as needed

· Assist with meeting set up and documentation as requested

· Assist with proposal package preparation as requested

· Project tracking to assist Project Managers with billing

· Request Vendor releases

· Update Bid Tracker and Monthly Bid Sheets

· Assist with Sales Tracking

· General office management – order office/breakroom supplies, answer incoming phone calls and route appropriately, complete bank/post office/UPS trips, email replies

Qualifications:

· 2+ years of experience in concrete restoration or construction administration preferred

· Advanced computer proficiency in all Microsoft applications – Excel, Power Point.

· Experience with Sage BusinessWorks project creation and reporting preferred

· Understanding of business administration and office management preferred

· Exceptional interpersonal skills with ability to create and maintain productive work relationships with field managers to executive level

· Ability to handle fast-paced, ambiguous and complex work processes, and thrive in a dynamic and growing organization with lean structure

· Self-driven with strong attention to detail, ability to multi-task, and work with minimal supervision in a deadline-oriented environment
