Role Overview:
We are hiring a highly organized and proactive Administrator to support our executive and operations teams. You’ll play a key role in ensuring the smooth day-to-day functioning of our business – handling scheduling, logistics, communications, and administrative processes that keep us running efficiently.
This role is ideal for someone who thrives in a fast-paced environment, enjoys wearing many hats, and is excited to be part of a high-growth startup from the ground up.
Please Note:
Prior experience in the Dubai real estate industry is a must for this role. Applications without relevant local experience may not be considered.
Key Responsibilities:
1. Executive & Team Support
Manage calendars, coordinate meetings, and organize travel for senior leadership.
Prepare documents, presentations, and internal communications as needed.
Support CEO and leadership team in meeting prep, follow-ups, and key operational tasks.
2. Office & Operations Management
Oversee general office admin—supplies, equipment, workspace logistics (remote/hybrid).
Coordinate team offsites, events, and onboarding of new hires.
Liaise with vendors, service providers, and contractors as necessary.
3. Process Coordination & Documentation
Maintain up-to-date internal records, contact databases, and filing systems.
Track key deadlines and project timelines; ensure things don’t fall through the cracks.
Support internal process improvements across HR, finance, and legal documentation.
4. Culture & Team Engagement
Help cultivate a positive and productive team environment.
Organize team-building initiatives and support internal communications.
Be the go-to person for day-to-day team support needs.
Qualifications & Skills:
3+ years of experience in an administrative, office manager, or EA role – ideally in the real estate industry
Excellent organizational and time management skills; strong attention to detail.
Comfortable managing multiple tasks and deadlines simultaneously.
Strong communication skills – written and verbal.
Proficiency in tools like Google Workspace, Notion, Slack, and Zoom.
Team player with a “get it done” attitude.
