Company Overview: Founded in 1978, George R. Fattouh SAL has grown into a leading supplier with a varied portfolio, including Food Ingredients, Tobacco and Non-Tobacco Ingredients, and Packaging Materials.
Our focus in the Food Ingredients Department is on importing and distributing essential raw materials and semi-finished products tailored for the Chocolate and Confectionery Industry. Proudly representing major brands, we guarantee a seamless and reliable supply of top-quality ingredients, solidifying our position as leading suppliers in the MENA region.
As part of our regional expansion plan, we have currently opened our first company branch in KSA and are looking for a skilled Administrator to provide administrative support and ensure efficient business activities.
Qualifications and Experience:
· 2+ years of experience in an administrative or office management role.
· Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
· Experience in coordinating with external parties and handling office-related tasks.
Roles and Responsibilities:
1. Employee and Company Management:
• Manage all governmental platforms, including but not limited to SFDA, FASAH, MUQEEM, BALADY, QIWA, other, and other relevant governmental entities.
• Handle employee onboarding, ensuring all necessary documentation and procedures are completed.
• Maintain and update employee records, contracts, and attendance tracking.
• Manage employee leave requests and maintain accurate records.
• Ensure compliance with Saudi labor laws and company policies.
2. Office Administration:
• Oversee day-to-day office operations, ensuring a smooth workflow.
• Manage office supplies, procurement, and inventory tracking.
• Handle communication with service providers, including courier companies and external vendors.
• Maintain organized filing systems for contracts, invoices, and administrative records.
• Review and verify shipping documents.
3. Compliance and Documentation:
• Assist in the preparation and submission of required documentation for regulatory and government authorities.
• Ensure all SFDA and import-related documentation is properly maintained and submitted on time.
• Prepare reports and maintain updated records related to business operations and HR functions.
• Maintain and archive technical sheets, Certificates of Analysis, and other relevant documentation.
4. Communication and Coordination:
• Maintain communication with freight carriers and clearing agents for shipment updates.
• Handle incoming calls and inquiries, directing them to the appropriate department.

· Strong organizational and multitasking abilities to handle various administrative duties efficiently.
· Ability to prioritize and manage time effectively to meet deadlines.
· Attention to detail to ensure accuracy in documentation and data entry.
· High level of confidentiality and integrity in handling sensitive information.
· Strong customer service skills to maintain positive relationships with all parties.
Requirements:
· Currently residing in Riyadh, KSA.
· Fluent in Arabic and professional in English.
