About Maple Arts
Maple Arts presents concerts, cultural events, and artistic programs across Canada. We are looking for an organized and reliable person to support our daily administration, communications, website updates, social media coordination, and event preparation.
About the Role
The Administrative Coordinator will support the day-to-day operations of Maple Arts. This is mainly an administrative role, with some responsibilities related to social media, website updates, and event support.
This role is a good fit for someone who is organized, detail-oriented, professional, comfortable with technology, and interested in arts and events.
Main Responsibilities
- Answer emails, phone calls, and messages.
- Keep files, documents, and records organized.
- Update spreadsheets, contact lists, and internal trackers.
- Help schedule meetings, rehearsals, and event-related tasks.
- Support invoices, receipts, and basic office paperwork.
- Prepare documents, forms, reports, and correspondence.
- Communicate with team members, artists, vendors, partners, and audience members.
- Help maintain office systems, shared folders, and internal records.
- Support management with daily administrative tasks.
Website & Social Media Support
- Update website event pages, dates, locations, ticket links, and images.
- Make sure website information is accurate and up to date.
- Help post basic updates on social media when needed.
- Write simple captions for events, concerts, artists, and programs.
- Help organize photos, videos, graphics, and marketing materials.
- Check for outdated website information or broken links.
- Work with the team or website support when needed.
Event Support
- Help prepare guest lists, artist lists, schedules, and event documents.
- Support audience communication before and after events.
- Assist with event promotion and reminders.
- Help with event preparation and follow-up.
- Support occasional evening or weekend events when required.
Qualifications
- Experience in administration, office support, coordination, communications, or a related role.
- Strong organization and attention to detail.
- Good written and verbal communication skills.
- Comfortable using email, calendars, spreadsheets, and shared folders.
- Comfortable using social media and updating basic website content.
- Able to manage multiple tasks and meet deadlines.
- Reliable, professional, and willing to learn.
- Business Administration, Office Administration, Communications, or Arts Administration education is an asset.
- Experience in arts, music, events, or nonprofit work is an asset.
- Arabic and/or French language skills are an asset.

Schedule
This is a full-time, on-site administrative position.
Some evenings and weekends may be required for concerts, events, or important deadlines.
Pay
$24 per hour
