Position Information
TxDOT’s Fort Worth District is looking to fill one Administration Assistant IV position located at the District Headquarters. This position performs administrative office support-related work for department staff, the general public, and one or more projects and specialized programs. Work requires contact with middle and high-level managers and private entities. Employees at this level establish their own work plan and priorities to meet set objectives. Issues are rarely referred to the supervisor but are handled at the occurrence.

This position is for ONE Administration Assistant IV. The Texas Department of Transportation reserves the sole right in determining the starting salary based on the applicant’s work experience, education, skill level, and all other appropriate factors, and based on business needs.

Position Description
Performs administrative office support-related work for department staff, the general public, and one or more projects and/or specialized programs. Work requires contact with high-level managers, executives, governmental officials and private entities. May serve as a lead worker. Employees at this level establish their own work plan and priorities to meet set objectives. Issues are rarely referred to the supervisor but are handled at the occurrence.
Essential Duties:
Represents the supervisor at meetings and is in contact with other governmental agencies and professional groups.
Attends meetings with supervisor; takes notes, summarizes, and follows up on any actions that need to take place.
Coordinates with other state agencies, private entities, and within the Department to meet program guidelines and
deadlines.
Edits correspondence, reports, forms, and documents for proper format, spelling, grammar, punctuation, typographical
errors, syntax, style, sentence structure, content, and clarity.
Receives requests for information, conducts background research, compiles pertinent data, and disseminates information.
Reviews information going to the supervisor and highlights important matters; researches and provides additional
information as needed; briefs supervisor on background information needed for meetings.
Maintains calendars for department personnel to include scheduling meetings, coordinating and making appointments, and
travel arrangements.
Uses database, spreadsheet or graphics software applications to prepare complex statistical reports and/or presentations
and verifies for accuracy and completeness.
Coordinates travel services to include making travel arrangements, securing transportation and lodging services, and
submitting reimbursement on the traveler’s behalf.
Performs other job responsibilities as assigned.
Minimum Qualifications:
Education: High School Grad or Equivalent in general education.
Experience: 4 years administrative or clerical support, customer service, business operations, communications, informational, or related experience. (Experience can be satisfied by full time or prorated part time equivalent). College education and/or relevant technical training may be substituted for experience on a year per year basis. Licenses and Certifications: Valid driver’s license. This position requires driving a state vehicle.

Applicable governmental laws, rules and regulations specific to area of responsibility for safeguarding information and
information technology related systems
Researching, evaluating and interpreting complex information
Public relations for maintaining effective working relationships with individuals and groups, both internal and external
Coordinating and scheduling activities/resources
Administrative support practices and procedures to include writing, editing and report writing techniques, recording
meeting notes, record keeping and records management
Preparing correspondence/documents using correct spelling, grammar and punctuation; proofreading and reviewing documents
for clarity and consistency
Office support procedures including proper business telephone etiquette, internal communication strategies, and using
basic office equipment
Communicating technical information effectively
Maintains composure when handling problems, stressful situations, continuous change, or unexpected developments
Shows initiative and action beyond what is required to improve products or services; is self-starting and completes
assignments independently without constant supervision
Physical Requirements and Working Conditions:
Sedentary work: Lift up to 10 lbs at a time and occasionally carry files/small tools
