We are seeking a responsible Office Administrator to perform a range of administrative and clerical duties. Duties of the Administrative Assistant include providing support to our project managers and employees, assisting in daily office needs, and managing our company’s general administrative activities. Specific responsibilities include making travel arrangements, preparing reports, and maintaining appropriate filing systems. As the ideal candidate, you should have excellent oral and written communication skills and be able to organize your work using tools such as MS Excel and office equipment. If you have previous experience as a Secretary or Executive Assistant and familiarity within our industry, we’d like to meet you. Ultimately, a successful Administrative Assistant should ensure the efficient and smooth day-to-day operation of our office.
Responsibilities
Answer and direct phone calls
Write and distribute emails, correspondence memos, letters, and forms
Develop and maintain a filing system
Receive and code project invoices and payments
Update and maintain office policies and procedures
Order and maintain office supplies
Maintain company contact lists
Book travel arrangements
Reconcile and distribute credit card expense reports to company employees
Provide general support to visitors
Act as the point of contact for internal and external clients
Requirements
Proven experience as an (executive) administrative assistant or office administrative assistant
Knowledge of office management systems and procedures
Working knowledge of office equipment, like printers and fax machines
Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
Excellent time management skills and the ability to prioritize work
Attention to detail and problem-solving skills
Excellent written and verbal communication skills
Strong organizational skills with the ability to multitask
High School degree; additional qualification as an Administrative Assistant or Secretary will be a plus

Pay: $50,000.00 – $60,000.00 per year
