Position: Administrator (In-Office)

Administrator – BPA Team – Vaughan (temporary in Toronto)

We are seeking an Administrator to join our BPA team in Vaughan. The office currently located in Toronto (1263 Wilson Ave.) and will relocate to Vaughan (Langstaff Rd. & Highway 50) in the coming months.

This position is 100% in‑office.

Hours:

8:30am – 4:30pm, with rotational Wednesday, 12pm – 8pm and Saturday, 9am – 12pm shifts every 12‑16 weeks.

Job responsibilities include:

  • Learn and understand applicable Collective Agreements, receive employer contribution reports daily, and ensure payments accurately match reports, balance and audit reports, confirming hours, rates, calculations, and additional information; process company adjustments on the MEBS system; conduct detailed analysis of employer reporting.
  • Generate and analyze various reports to identify and reconcile any company imbalances or irregularities; follow BPA delinquency guide for companies with outstanding balances.
  • Respond to inquiries from Union representatives, companies and members regarding eligibility, vacation pay and other issues.
  • Assist union representatives with inquiries regarding company and member reports.
  • Request and distribute cheques from the Accounting Department at month‑end.
  • Assist employers to complete documentation and reports for submission to BPA.
  • Process benefit self‑payments from members; review payments to ensure accuracy and follow up with discrepancies.
  • Enter data on remittance reports submitted by companies, when required.
  • Follow up with members on NSF cheques for self‑payments.
  • Run various monthly queries to assist in monthly reporting.

Qualifications:

  • Experience in office administration and clerical processes related to data analysis and account reconciliation.
  • Proficient PC skills, especially Microsoft Office (Excel & Word).
  • Knowledge of accounting practices is a definite asset.
  • Demonstrated mathematical aptitude.
  • Minimum secondary school graduate; post‑secondary education preferred.
  • Ability to organize and prioritize workload.
  • Excellent written and verbal communication.
  • Strong interpersonal and customer service skills.
  • Ability to multi‑task, work under pressure and meet deadlines.

Preferred qualifications:

  • Previous experience in the group benefits industry.
  • Fluency in Portuguese, Italian and/or Spanish.
