Position Summary:

The Village of Kronenwetter is seeking a highly organized and detail-oriented Administrative Assistant to provide essential clerical and administrative support to Village departments, staff, and the general public. This position plays a key role in ensuring smooth day-to-day operations within the Village government and serves as a vital point of contact for residents, service providers, developers, elected officials and stakeholders.

Key Responsibilities:

Serve as the first point of contact for the public, providing friendly and accurate information in person, via phone, or email.
Assist in preparing agendas, minutes, and supporting documents for Village Board, committee, and commission meetings. This position will specifically prepare the agendas, minutes and supporting documents for the Community Life, Infrastructure and Public Property Committee (CLIPP). The CLIPP Committee meets on the first Monday of each month at 6 p.m.
Maintain and administer reservations of various Village facilities, including park shelters, athletic fields and the Municipal Center Community Room.
Maintain accurate records, files, and databases in compliance with public records laws and Village policies.
Maintain brochure display racks and bulletin boards.
Support administrative processes including mail distribution, data entry, purchasing, scheduling, and document preparation.
Assist with permit applications, licensing, billing, utility payments and tax payments, ensuring timely and accurate processing.
Cross-train for water utility clerk functions.
Take charge of the Village’s community events, to include planning; gaining sponsorships; facilitating events; marketing material design; marketing efforts; communicating with parties involved; recruiting vendors; filing reports with the Department of Revenue; budgeting; event follow-up; etc.
Maintain the Village website, acting as the point person for updates and revisions to each department’s website pages.
Assist the village clerk with election administration, including voter registration, absentee voting and other duties as directed.
Assist with communication strategies, newsletter development and social media postings.
Coordinate with other Village departments to support interdepartmental communication and workflow.
Maintain confidentiality of sensitive information and ensure proper handling of official documents.
Perform other duties as assigned by the Village Administrator or department heads.

Qualifications:

Required:

High school diploma or equivalent; Associate degree in office administration, public administration, or related field preferred.
Minimum of 2 years of clerical or administrative experience, preferably in a government or public-facing role.
Proficient in Microsoft Office Suite (Word, Excel, Outlook) and general office equipment.
Excellent communication, organizational, and customer service skills.
Ability to multitask, prioritize duties, and work independently with attention to detail.

Preferred:

Familiarity with Wisconsin municipal operations or governmental procedures.
Experience using accounting, records management, or municipal software (e.g., Civic Systems, Outlook, Microsoft Office).

Ability to:

1) Ability to employ excellent computer skills including intermediate knowledge of Microsoft Office Suite of products.

2) Ability to operate a variety of standard office equipment.

3) Ability to work independently with direction but limited supervision

4) Ability to tactfully deal with both internal and external customers.

5) Ability to effectively present information and respond to questions from citizens, elected officials and the general public.

6) Ability to apply concepts of basic mathematics as needed.

7) Ability to solve practical problems and to interpret the instructions of others relating to the functions of the position.

8) Ability to maintain a positive work atmosphere by behaving and communicating in a manner of cooperation and rapport with both internal and external customers.

9) Ability to work rapidly, to prioritize multiple assignments, and to meet specific deadlines.

10) Ability to communicate orally and in writing with Village employees and the general public.

Physical Demands:

The physical demands described here are representative of those that employees must meet to perform the essential functions of this job. The Village may make reasonable accommodations to enable individuals with disabilities to perform the essential functions.

1) The ability to operate equipment and machinery with some requiring complex and rapid adjustments, such as computer keyboard/terminal, calculator, fax machine and telephone.

2) The ability to coordinate eyes, hands and limbs in performing skilled movements such as rapid keyboard use.

3) The ability to exert light physical effort in sedentary to light work, typically involving lifting, carrying, pushing and pulling. Ability to sustain prolonged visual concentration.

Work Environment:

Typical office environment with frequent use of computers and telephones.
Regular interaction with the public, staff and elected officials.
Some evening hours may be required for attendance at meetings.

Medical Requirement:

Applicants may be required to submit to a medical examination prior to appointment, consistent with requirements of the position. The Kronenwetter Village Board will update from time to time specific requirements of the medical examination.

Compensation and Benefits:

$24.35 per hour
Competitive benefits package including health, dental, vision, Wisconsin Retirement System (WRS)- after five years, paid holidays, and vacation time.
