RK&K is seeking a reliable, detail-oriented, and highly motivated Administrative Assistant to support our team in Keyser, West Virginia. This role is ideal for someone who thrives in a dynamic environment and takes pride in keeping operations running smoothly. You’ll play a key role in supporting our projects and teams with essential administrative and billing functions.

This is a full-time, onsite role that requires desk coverage for 8 hours each day. The workday may begin anytime between 7:00 AM and 8:00 AM, depending on your preferred start time.

Essential Function

As an Administrative Assistant, you will be responsible for a wide range of tasks that ensure the efficiency of daily operations, including:

Coordinating and placing orders with vendors for office supplies, project materials, meeting catering, and more
Preparing and managing expense reports
Handling phone calls, incoming/outgoing mail, shipping, and printing
Scheduling meetings and assisting with meeting preparation
Managing office facility communications and submitting work orders
Supporting new employee onboarding processes
Liaising with IT for printer/copier support and general tech needs
Registering team members for conferences and training
Arranging travel and accommodations
Greeting and assisting office visitors
Entering data to support contract and proposal management
Developing and updating project status reports using provided data
Tracking invoices and supporting billing processes
Review and approve sub-consultant invoices
Create and maintain all project-related billings to clients

Required Skills and Experience

Minimum of two years of professional administrative or office experience
Associate or Bachelor’s degree in accounting or related field
Proficiency in Microsoft Word and Excel; familiarity with other Microsoft Office products
Familiarity with Deltek
Strong judgment and discretion when handling sensitive or confidential information
Excellent written and verbal communication skills
Professional and courteous interpersonal skills
Ability to manage multiple tasks in a fast-paced, deadline-driven environment
Exceptional organizational skills and attention to detail
Basic knowledge of accounting and invoicing processes
Strong ability to support multiple billing projects and deadlines
Ability to learn and use new technology/systems quickly
Knowledge of government contract types (i.e. cost-plus fixed fee (CPFF), time and material (T&M), lump sum)
