Position Summary:

Florida Atlantic University is seeking an Assistant Director, Administration – Boca Raton, FL

The Assistant Director, Clinic Administration reports directly to the Director for Student Health Services (SHS) and is responsible for supporting the following functional areas within SHS: Clinic and business operations, quality, human resources, training and education, accounts payable and receivable, and accreditation.

Operations

Provide leadership, management, and support for clinic operations.

Facilitate the coordination of care and service offered to patients.

Maintain knowledge on all accepted health plans.

Prioritize collecting accurate information for billing process.

Participate in accounts payable and receivables functions.

Support patient access operations including but not limited to registration, scheduling, required forms, insurance verification, check-out, medical records management, immunization compliance and related functions.

Support business operations including but not limited to accounts payable, invoice audits and prompt payment, and check deposits.

Quality

Identify opportunities to assess quality through activities, studies, and peer reviews, draft reports, and present findings to committee members and staff.

Utilize data analysis and industry standards to advance a culture of quality care.

Human Resources

Maintain and manage all personnel functions for Student Health Services, processing all appointments, status changes and terminations, working with other University departments to ensure prompt processing.

Maintain personnel files, post positions and schedule interviews.

Assist with onboarding employees, including but not limited to training, IT access, building access, distributing keys and acclimating employee to the department.

Training & Education

Maintain and manage tracking of all required staff training for accreditation purposes.

Arrange for staff training access and communicate instructions for the following: CPR/BLS, Fit Testing N95, SAFE Zone, FERPA, HIPAA, Fire Safety, Fire Extinguisher, Office & Workplace Safety, Bloodborne Pathogen, Biological Safety, working with vulnerable populations, Patient Safety Organization, Anti-Harassment-Anti Discrimination, Title IX, and Kognito.

Accreditation

Support accreditation requirements.

Draft, Review, and approve policies and procedures.

Train staff on policies and procedures.

Other

Promote a positive and cooperative work environment by communicating problems and workflow issues with supervisor and handle conflict in an appropriate manner.

Supervise direct report staff.

Cover front desk when short-staffed.

Serve on the SHS Executive Committee, Clinical Operations Committee, and Quality Management Improvement Committee. Represent SHS on University-wide Committees.

Additional job-related duties as assigned.
