Overview
The Operations Support Specialist is responsible for executing critical operational tasks that ensure accuracy, compliance, and efficiency across administrative, payroll, and benefits-related functions. This is a hands-on role requiring strong multitasking abilities, office management skills, and coordination across departments. The ideal candidate will assist in maintaining operational flow, support internal teams and clients, and proactively manage day-to-day logistics and administrative needs within the organization.

Responsibilities:

· Payroll & System Execution

– Accurately enter and update benefit deductions in various payroll platforms (e.g., ADP, TempWorks, Paylocity, Prism)

– Monitor payroll cycles to ensure deduction changes are applied before payroll deadlines

– Execute updates for employee terminations, retroactive adjustments, and missed deductions

– Run standard reports to verify payroll accuracy and support audit readiness

· Remittance Management

– Track and verify monthly premium remittances for life insurance and administrative fees

– Reconcile payroll deduction totals against remittance obligations

– Ensure all scheduled remittances align with carrier deadlines and funding expectations

– Alert leadership when discrepancies or shortfalls in net pay are detected

· Operational & Administrative Support

– Provide general office management support including scheduling, document organization, and internal communications

– Maintain updated logs of deduction schedules, remittance tracking, and system entries

– Support the Assistant Director of Operations in day-to-day coordination and task delegation

– Assist with new hire onboarding materials, internal process checklists, and policy compliance

– Monitor internal workflows and help identify areas for improvement in administrative processes

· Client & Team Communication

– Respond to internal team inquiries related to deduction setup, eligibility changes, or remittance questions

– Communicate with client contacts to clarify missing data or confirm deduction approvals

– Coordinate with benefits, HR, and finance departments to ensure accuracy in reporting and payments

– Schedule and support client-facing meetings or onboarding calls as needed

Skills

Strong organizational skills with the ability to prioritize tasks effectively.
Excellent phone etiquette and interpersonal communication skills.
Proven experience in customer support or administrative roles.
Familiarity with medical receptionist duties is a plus.
Proficient in using Google Suite applications (Docs, Sheets, Calendar).
Ability to manage calendars efficiently and coordinate schedules.
Detail-oriented with strong proofreading abilities.
Experience as an office clerk or in similar administrative positions is advantageous.
