Role: Executive Assistant II
Location: Baltimore, MD – Hybrid role – 4 days onsite per week, primarily at Canton and Merriweather, with occasional presence at MetSquare.
Type: Contract (6 months, possible extension/CTH)
Job Description:
We are seeking a highly organized and experienced Executive Assistant II to support senior leadership. This role requires strong administrative expertise along with the ability to operate in a fast-paced, healthcare-focused environment. The ideal candidate will manage complex executive schedules, coordinate communications, and ensure seamless day-to-day operations for leadership.
Key Responsibilities
- Manage and maintain complex executive calendars, including scheduling internal/external meetings, travel, and events
- Handle high-volume inbox management, prioritize communications, and draft professional responses
- Prepare executive-level materials including presentations, reports, and meeting agendas
- Coordinate travel arrangements, expense reports, and logistics for meetings and conferences
- Act as a liaison between executives, internal teams, and external stakeholders
- Track action items, follow-ups, and ensure timely completion of deliverables
- Support onsite executive needs including meeting preparation, document handling, and coordination across locations
- Maintain organized documentation and filing systems (digital and physical)
Required Qualifications
- 7+ years of experience supporting senior executives (VP/EVP/C-level)
- Strong experience managing complex calendars and executive communications
- Experience working in a healthcare or insurance environment
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- Excellent organizational, time management, and multitasking skills
- Strong written and verbal communication skills
- Ability to work independently with minimal supervision
Preferred Qualifications
- Experience supporting executives within healthcare payer/provider organizations
- Exposure to fast-paced, regulated environments
- Experience coordinating large meetings, events, or executive travel
