Job Description – Receptionist
Position Description:
The receptionist of University Place Pediatric Clinic (UPPC) is responsible for ensuring professional, pleasant and efficient scheduling and check-in of patients. This includes answering our multi-line phone system, scheduling appointments, and routing inbound calls as needed to nursing or office staff. The receptionist must demonstrate the ability to multi-task and work well under pressure. The receptionist is often the family’s first contact in clinic and therefore must perform all duties of their role with accuracy, accountability, and exceptional customer service. In addition to the duties and responsibilities noted in this job description, the receptionist also assumes additional duties as assigned in support of the overall function and mission of the practice.
Reporting Structure:
Reports To: Clinic Administrator
Primary Responsibilities:
1. Greet patients and families in a friendly and courteous manner at all times.
2. Provide efficient customer service during check-in. This includes collecting and verifying accurate and complete demographic and insurance information, entering all updates into Office Practicum, collecting co-pays and outstanding balances.
3. Answer inbound calls and schedule appointments.
4. Escalate urgent clinical calls to the phone nurse promptly.
5. Maintain physician master schedule in accordance with changes and updates provided by manager.
6. Partner with patient account coordinator to ensure proper coverage as well as continuity of care.
7. Confirm appointments daily for upcoming physicals and med checks.
8. Complete work assignments within established time frames, adapting to changes in work assignments as needed to support the care team as well as our patients and families.
9. Provide timely, clear written and verbal communication to patients and families regarding financial policies and waiting times. Proactively escalate issues to the Front Office Manager or Clinical Supervisor as appropriate if additional follow up is needed, or as requested by the patient and family.
10. Proactively communicate patient and family clinical concerns among appropriate care team members in a timely manner. Maintain appropriate confidentiality practices at all times.
11. Maintain the professional and pleasant appearance of the reception area. Maintain a professional demeanor with coworkers, working in a collaborative, team- oriented manner consistent with the patient centered medical home model of care.
12. Engage in appropriate resolution of interpersonal problems with co-workers, seeking support from the Clinic Administrator as needed.
13. Proactively identify potential issues and engage in collaborative problem-solving with the care team. Demonstrate a positive approach in issue resolution, offering suggestions and solutions to benefit both patients and staff.
14. Demonstrate adherence to all UPPC personnel policies, ensuring awareness of relative policy updates.
Qualifications – Minimum Requirements
1. Education – High School diploma
2. Experience -Two or more years of experience preferred in the medical field with responsibilities in a similar position. Knowledge of insurance plans and verifying eligibility. Must be comfortable collecting co-pays and requesting payment on balances. Demonstrated ability in both written and verbal communications to provide high-level of accountability, accuracy, and customer service in performance of daily workflows.
Physical Requirements:
1. Must be able to sit for extended periods of time relative to computer work and management of phone calls.
2. Position includes use of office equipment including copier, and involves some bending, some lifting, stooping and stretching.
3. Duties may entail frequent repetitive hand movements for computer keyboarding and data entry.
Working Conditions:
Normal medical office environment.

Pay: $19.00 – $21.50 per hour
