The Administrative Assistant to the Athletic Department plays a vital role in supporting the operations and administration of the schools athletic programs. The individual provides clerical and organizational support to the Athletic Director, coaching staff, and student-athletes, ensuring the efficient and smooth functioning of all departmental activities.This position is part-time position; approximately 10 hours, with hours limited to school day during the school year only. The specific schedule and duration of employment are subject to the needs of the athletic program and will be determined at the discretion of the Athletic Director.PERFORMANCE RESPONSIBILITIES: Serve as the primary administrative support to the Athletic Director and athletic staff. Process and file athletic forms, reports, and incident records in compliance with school and district policies.

Maintain and update athletic schedules, game rosters, and calendars in coordination with league and state guidelines. Coordinate and track coaches licensure requirements Assist with the coordination of transportation, officials, and facilities for practices and competitions. Maintain accurate records of team rosters, schedules, physicals, eligibility, and other compliance documentation. Maintain accurate financial records for athletic fees, fundraising, and event revenues.

Manage uniform and equipment inventories; assist with ordering and distribution. Manage the payment of athletic officials through ArbiterPay. Communicate with parents, students, staff, and officials regarding schedules, game changes, and event logistics. Monitor deadlines for league and state reporting requirements.

Monitor and update official social media accountsKNOWLEDGE, ABILITY, AND SKILLS: Ability to communicate effectively both verbally and in writing, with a varied audience Ability to interpret, explain, and apply complex information such as regulations, policies or services; Ability to work with highly confidential and legally sensitive information and material with utmost discretion; Ability to prioritize multiple tasks and perform detailed work accurately and efficiently, within strict deadlines, in an environment with interruptions; Proficiency in working with Microsoft applications (e.g. Word, Excel, PowerPoint) and Google Documents; Experience working with electronic calendars and email; Ability to gain, in a short period of time, extensive knowledge of the schools programs and objectives, policies and procedures.
