We are seeking an Office Administrator to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office environment. This position requires a proactive individual who excels in multitasking and possesses strong communication skills. The Office Administrator will be responsible for managing office functions, providing exceptional customer service, and supporting various administrative tasks.

Responsibilities

Manage front desk operations, including greeting visitors and handling incoming calls using phone systems.
Provide excellent customer support by addressing inquiries and resolving issues promptly.
Oversee office management tasks such as maintaining supplies, organizing files, and ensuring a tidy workspace.
Perform data entry accurately to maintain up-to-date records and databases.
Assist with proofreading documents to ensure clarity and correctness before distribution.
Support team members with administrative tasks, acting as a personal assistant when needed.
Utilize computer literacy to manage various software applications for efficient office operations.
Collaborate with other departments to streamline processes and improve overall efficiency.
Help in the hiring/firing process and employee
Responsible for payroll and bi-weekly payroll taxes submitted and end of year W-2’s and payroll forms to be sent to employees, state, federal agencies.
Marketing – keep up with social media by posting to keep Company in public’s view – Facebook
Design and send out quarterly newsletter using publisher.
Janitorial work such as cleaning bathroom, vacuuming, moping floors, dusting

Qualifications

Proven experience in an office administration role or similar capacity.
Strong customer service skills with the ability to communicate effectively both verbally and in writing.
Proficiency in using phone systems and office equipment.
Excellent organizational skills with attention to detail for effective office management.
Familiarity with data entry processes and basic computer applications.
Ability to work independently as well as part of a team in a fast-paced environment.
Prior experience in proofreading is a plus, ensuring high-quality documentation.
