MANAGING PARTNER EXECUTIVE ASSISTANT & EVENT COORDINATOR
General Responsibilities
The responsibility of the Managing Partner Assistant & Event Coordinator is to provide administrative support and assist the Managing Partner as needed. This is not a remote position.
Specific responsibilities include but will not be limited to:
Managing Partner Support:
Prepare correspondence
Maintain calendar (schedule, birthdays, anniversaries, etc.) & emails
Coordinate physical correspondence (mail, document signage, cards, gifts, etc.)
Organize travel arrangements (flights, hotels, rental cars, etc.)
Organize and monitor agency contests and surveys
Schedule & prepare for meetings, lunches, events, etc. at office and off site
Create agenda for meetings, track attendance, and communicate meeting debriefs
Create & send weekly and monthly newsletters to agency
Pull reports for newsletters, contests, awards, communication, etc.
Arrange travel for team members & book flights for out of office meetings (annual meeting, conferences, etc.)
Event Coordinator
Assist with annual philanthropic event (benefitting ALSF)
Create PowerPoints & pull reports for Agency or Network Office meetings
Send out meeting invites for Planning Days, Network Office events, and Agency events
Assist / Coordinate in-office events (i.e.. birthday ice cream socials, holiday parties, potlucks, trick-or-treat, team lunch with Jessica, etc.)
Assist with preparation of, set-up, and clean-up of all events
Organize P40 and P60 celebrations (order plaque, order supplies for celebration, cake, print banner)
Qualifications
It is recommended that the Managing Partner Assistant have the following qualifications:
Strong computer and keyboarding skills and Microsoft Office experience
Excellent interpersonal skills
High degree of organizational skills
Excellent written and oral communication skills
Ability to exercise good judgment
Ability to maintain a high degree of confidentiality
Ability to multi-task
Ability to take independent action to make sound decisions
Ability to work effectively with people at all levels
Job Type: Full-time
Pay: $50,000.00 – $65,000.00 per year
