SUMMARY

Responsible for the operation of the administrative office and for providing support services to the President and Vice President of Finance and Administration.

ESSENTIAL DUTIES AND RESPONSIBILTIES include the following. Other duties may be assigned.

Represent the President in public relations situations which arise in the administrative office, to include arranging for flowers and other acknowledgements to residents, families and team members (i.e. deaths, significant hospitalizations or other life transitions).

Answer phones, oversee and manage the President’s calendar and the and make office visitors and residents comfortable and feel welcome.

Maintain community wide calendar for the year; update and distribute as necessary; meeting room reservations made for staff and residents

Prepare Board materials and oversee the production of minutes for Board meetings and committees. Communicate with the board throughout the month regarding conference calls, zoom meetings, yearly retreat, other special meetings and generally any assistance as needed Maintain and/or distribute Board files and corporate records as necessary. Minutes currently transcribed: Board (monthly), Finance (monthly), QAPI (monthly), CQI (e/o month), Safety (monthly), Health Care (quarterly), Strategic Planning (quarterly and additional), DEIB (monthly).

Prepare and oversee annual Edenwald leadership and board schedules.

Prepare and distribute annual reports.

Assist with preparation of the Annual Certificate of Renewal and Disclosure Statement.

Provide support services to Senior Leadership as requested by the President.

Recognize leadership birthdays on a monthly basis and arrange other specialty events.

Maintain office machinery as operable and arrange for repairs when necessary. Order office supplies for all departments, including stationery, business cards, internal departmental forms. Maintain office supply room.

Manage office supplies budget.

Maintain and store resident business files as necessary.

Track, oversee and maintain licenses, contracts, certificates of insurance and renewal applications.

Provide notary services to residents, family members and staff.

Supporting residents as needed to include, but not limited to, assistance with the Employee Appreciation Fund (yearly), sending out RA minutes via email (monthly), maintaining the internal resident email listing (ongoing), processing mail forwarding along with managing the forwarded mail (daily/ongoing) for deceased residents or residents that have moved to health care units that no longer have a USPS mail box.

Effective written and verbal communication skills. This role often serves as the primary point of contact for all stakeholders.

Ability to execute with good judgement and decision-making skills.

Ability to manage by influence and delegation from President (senior leadership, residents, internal and external stakeholders).

Ability to manage complex schedules and sequencing tasks for overall organizational business readiness.

Must be able to navigate AI (artificial intelligence) programs to streamline processes and ensure efficiency.

EDUCATION AND/OR EXPERIENCE

Must be a high school or business school graduate with at least three (3) yearsexperience in a similar position. Must possess superior typing and filing skills and have experience in general office procedures. Must be proficient in the use of office equipment, word processing and database software; to include excel, publisher, and various AI (artificial intelligence) products in support of community operations.

LANGUAGE SKILLS

Ability to read and interpret documents such as safety rules, operating and maintenance instructions and policy/procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before small groups.

MATHEMATICAL SKILLS

Ability to add, subtract, multiply and divide in all units of measure using whole numbers, common fractions and decimals. Ability to compute rate, ratio and percent.

REASONING ABILITY

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral or schedule form. Ability to prioritize and multi-task.
