Job Summary
Serves as assistant to the Associate Dean, College of Health Sciences (CHS). Responsible for performing tasks related to college faculty & staff, to include personnel actions and travel.
Duties and Responsibilities
* Personnel & Pay.
* Completes and submits Payroll Action Forms (PAFs) for personnel & pay actions pertaining to CHS faculty & staff.
* Compiles, enters, and checks accuracy of data input into the Faculty Load And Compensation (FLAC) system.
* Completes appointment/reappointment letters for returning faculty and special duties.
* Prepares preapproval requests for new or changed positions, titles, or salaries.
* Assists in completing Leave Payout and Employee Clearance forms for faculty & staff leaving ULM employment.
* Completes and submits access request for email, Banner, INB, and other campus systems.
* Maintains personnel files for full-time personnel and adjuncts.
* Travel.
* Conducts all travel-related business for CHS, including reviewing and obtaining approval for Travel Authorization forms; making reservations for hotels, rental cars, and airlines; and reviewing Travel Expense reports before submission to the Controller’s office.
* Serves as cardholder for the CHS CBA travel card. Insures purchases are made and reconciled according to ULM policies & procedures. Submits monthly CBA card report to the Controller’s office.
* Faculty Qualifications.
* Maintains qualifications files for each full-time and adjunct instructor, to document the meeting of SACSCOC instructor qualifications.
* Obtains original transcripts from the ULM Registrar’s office.
* Reviews & submits employment recommendations for new adjunct faculty.
* Reviews and submits Justification of Faculty Qualifications for faculty without a terminal degree in the field in which they teach.
* Prepares, reviews, and submits Graduate Faculty Membership Applications.
* Maintains Faculty Roster.
* Performs other duties as assigned.
Minimum Qualifications
* Bachelor’s degree in any field.
* At least two years of experience in which clerical work was a major duty.
* Proficiency in common office software (Windows, MS Office, Adobe, etc.)
