General Description: The City of Jacksonville is seeking a talented administrative professional as the front desk receptionist at City Hall as part of the City Manager’s Office. The Administrative Assistant has strong creative and business writing skills, and is well versed with proper grammar and punctuation; possesses an in-depth knowledge of Microsoft Office programs, and has a thorough understanding of how to use PowerPoint for presentation at City Council meetings and workshops. The Administrative Assistant works closely with other administrative professionals under the guidance of the City Clerk and Deputy City Clerk; Career Development opportunities are available through the Citywide Career Development Plan with this position.

Administrative Assistants perform responsible skilled clerical work providing assistance to the public receiving and routing the calls to proper person, performing a variety of office assistance and administrative tasks; does related work as required. Work is performed under regular supervision.

The salary posted is the full salary range for this position. The starting salary is expected to be in the range of $30,712.41 – $39,926.13 depending on qualifications.

Essential Functions/Typical Tasks

Answering multi-line telephone; routing calls; greeting public; providing information and performing office assistance and administrative support tasks.

Answers telephones and directs incoming calls to various offices for disposition.
Greets walk-in public and provides assistance and/or directs them to appropriate office.
Provides general information regarding department activities and functions to the public.
Types a variety of documents including correspondence, memos, reports, etc.
Prints and files variety of departmental files, records and reports.
Processes incoming and outgoing mail; processes courier and overnight packages.
Processes purchase orders and timesheets.
Prepares and maintains files and databases.
Maintains registration system; collects and accounts for fees and charges.
Processes service and inspection requests; prepares work orders; schedules inspections.
Assists with preparing agendas, minutes and official records.
Performs related tasks as required.

Required Education and Experience

Any combination of education and experience equivalent to graduation from high school and 6 months to 2 years office experience involving public contact.

Knowledge, Skills and Abilities

General knowledge of standard office and receptionist procedures and the operation of a multi-line telephone; general knowledge of the functions and activities of the City and area of assignment; ability to speak clearly, understand and follow written and oral directions; ability to operate standard office equipment; ability to establish and maintain effective working relationships with associates and the general public.
