Position Description
The Operations, Finances & Executive Support Specialist is a shared role that provides essential operational and administrative support to both Reimagine Education (the ESP and employer of record) and Michigan International Prep School (MIPS). This individual plays a vital role in supporting the President and Vice President of Reimagine Education and the Superintendent of MIPS, ensuring day-to-day systems run smoothly and efficiently. Working closely with Partner Solutions, which provides financial services for MIPS and KCA and HR services for KCA, the Specialist manages financial processes, vendor relations, board logistics, and internal coordination across the Reimagine family. This person is responsible for accounts payable/receivable, contract oversight, credit card reconciliation, meeting scheduling, executive logistics, and event coordination. The Specialist is an organized, resourceful, and proactive professional who thrives in a fast-paced, mission-driven environment. This position will report directly to the President and Vice President of Reimagine Education, Superintendent of MIPS.
Qualifications
Associate’s degree required; Bachelor’s degree preferred
Minimum of 5 years of experience in administrative, operational, or financial support roles
Experience in accounts payable, receivables, and basic accounting preferred
Demonstrated ability to manage multiple projects, meet deadlines, and adapt quickly
Exceptional organizational skills and attention to detail
Comfort and proficiency in spreadsheets, budgeting tools, and workflow platforms
Strong written and verbal communication skills
High level of discretion, confidentiality, and trustworthiness
Positive, proactive, and collaborative mindset
Experience supporting executive leadership and/or school boards is a plus

Essential Duties
Financial & Vendor Operations
Manage accounts payable and receivable for Reimagine Education and MIPS
Reconcile credit card transactions and maintain accurate financial documentation
Review and verify curriculum billing and ensure timely resolution of discrepancies
Manage contracts with vendors and service providers, including onboarding and renewals
Monitor billing cycles, verify invoices, and maintain clear records for audit readiness
Support financial reporting functions in collaboration with Partner Solutions
Executive Support
Provide administrative assistance to the President, Vice President of RE, and Superintendent of MIPS
Schedule meetings, prepare agendas and minutes, and manage calendars and travel logistics
Assist with internal communications, presentation materials, and reports
Coordinate logistics and support for executive-led events, training sessions, conferences, and special projects
Organize materials and manage follow-up related to strategic planning, operational meetings, and performance dashboards
Operational Systems & Coordination
Support the management of operational systems, workflows, and compliance tracking across all supported schools
Help organize and track shared services and resources (tech, data, curriculum logistics) across MIPS, KCA, and AIPS
Support onboarding logistics for RE staff and process documentation across the organization
Work to order supplies for all learning labs
Facilitate and manage all ordering of supplies through the various school vendors and retail stores
Assist in ordering supplies and organizing events for district administration
Organize and facilitate staff travel arrangements for professional development and training opportunities
School Board Support
Provide comprehensive administrative support to school boards across the Reimagine family of schools (MIPS, KCA, AIPS)
Coordinate preparation and distribution of board packets and meeting materials
Schedule and support board meetings (virtual/in-person), including note-taking, logistics, and compliance tracking
Respond to board member requests for documentation, scheduling, or administrative support
Ensure timelines and compliance with Open Meetings Act (OMA) and relevant school board policies
Additional Duties
Perform other tasks and responsibilities as assigned that support the success of Reimagine Education, MIPS, and all affiliated schools
Carry out other duties and obligations that are determined to facilitate the school’s mission, goals, standards, and Education Program
Must honor written Board Policies and Administrative RegulationsStudy Hall Mentor must be able to work from a designated Learning Lab as scheduled
Must be able to stand for a minimum of 30 minutes at a time
Must be able to lift 25lbs
Must be able to move throughout the Learning Lab
Must be able to sit in chair for long intervals
Event & Meeting Coordination
Coordinate logistics for internal and external events, including staff meetings, retreats, and stakeholder engagements
Order and prepare materials, supplies, food, and related logistics for meetings and events
Remote/virtual work setting with occasional travel for school board meetings, events, or trainings
Regular use of computer, video conferencing, and online platforms
Flexible scheduling to meet organizational demands across multiple entities
