Purpose of the role

The Office Assistant will provide administrative and operational support, ensuring smooth day-to-day workflow for the Executive Assistant and assisting in managing the Creative Director’s schedule, communications, and projects.

Responsibilities

Assist the Executive Assistant with scheduling meetings, and coordinating appointments for the Creative Director.

Handle general administrative tasks, including organising files, drafting emails, and preparing documents, presentations, and meeting materials.

Support the coordination of travel arrangements, itineraries, and expense reports.

Help manage correspondence, including emails, calls, and messages, ensuring timely responses.

Maintain office organisation and ensure necessary supplies are available.

Conduct research and provide insights to support creative projects and business initiatives.

Collaborate with different departments to facilitate seamless communication and operations.

Handle confidential and sensitive information with discretion.

Perform additional duties as assigned to support the Executive Assistant and Creative Director.

Qualifications, Skills, Experience Required

1-2 years of experience in an administrative or assistant role, preferably within a creative or fast-paced industry.

Strong organisational and multitasking skills, with strong attention to detail.

Excellent communication skills, both written and verbal.

Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with scheduling tools.

Ability to work independently and take initiative in a dynamic environment.

Discretion and professionalism in handling confidential information.

A proactive, can-do attitude with the ability to adapt to changing priorities.

Experience in the creative industry (fashion, media, design, or entertainment) is a plus
