Position Overview: We are seeking a highly organized, detail-oriented, and proactive Executive Assistant to support our Chief Financial Officer (CFO). The ideal candidate will possess exceptional administrative skills, strong analytical abilities, and proficiency in creating and managing spreadsheets and presentations using Microsoft Excel and PowerPoint. This role requires a high level of professionalism, discretion, and the ability to work effectively in a fast-paced, dynamic environment.
Key Responsibilities:
Provide comprehensive administrative support to the CFO, including managing calendars, scheduling meetings, and coordinating travel arrangements.
Draft and prepare correspondence for internal announcements, board meetings, and organizations that the executive is involved with including quarterly board meetings and executive committee meeting
Serve as gatekeeper; screen, prioritize, and respond to incoming correspondence, maintaining confidentiality.
Create and design professional PowerPoint presentations for internal and external stakeholders and assist in preparation of other key documents
Conduct research and compile data to assist the CFO in decision-making processes.
Manage sensitive matters and information with a high level of confidentiality and discretion especially decisions directly impacting the global operations of the company.
Coordinate and manage special projects, ensuring timely completion and adherence to company standards.
Liaise with internal departments and external partners to facilitate communication and collaboration, as well as maintain communication with direct reports and manage Executive’s contacts
Perform other administrative duties as assigned to support the CFO and the finance team.
Manage heavy calendars; schedule internal meetings, appointments, board meetings, conference calls and corporate events
Coordinate domestic travel for business; travel and expenses
Run weekly, monthly, and quarterly holdings reports for CFO staff meetings
Screen incoming calls and emails; take and deliver accurate messages; respond to requests by gathering and providing information and referring non-routine calls to the appropriate staff.
Welcome the Executive’s guests by greeting them, in person or on the phone; answering or directing inquiries.
Conserve the Executive’s time by reading, researching, collecting and analyzing information as needed, in advance.
Qualifications:
Bachelor’s degree in Business Administration, Finance, Accounting, or a related field preferred.
Advanced proficiency in Microsoft Excel, including the ability to create complex formulas and charts.
Strong proficiency in Microsoft PowerPoint, with the ability to create visually appealing and impactful presentations.
Excellent organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
Strong analytical skills and attention to detail.
Exceptional written and verbal communication skills.
Ability to function well in a high-paced environment; performs additional duties as assigned by executives.
Ability to work independently and as part of a team, demonstrating flexibility and adaptability.
High level of professionalism and discretion in handling confidential information.
Establish a network and maintain an outgoing and curious mindset
Experience in the insurance or financial services industry is a plus.
For individuals assigned and/or hired to work in New York, Starr Insurance Companies is required by law to include a reasonable estimate of the compensation range for this role. The wage range for this role takes into account the wide range of factors that are considered in making compensation decisions including but not limited to skill sets: experience and training: licensure and certifications: and other business and organizational needs. A reasonable estimate of the current range is $100,000-$120,000
