Assistant to the President/Office Manager Jobs in New York, NY at Manipal Education Americas, LLC

Serving as a member of the Development Team, the Executive Assistant to the EVP & Chief of Development supports Stetson University by taking on the role of primary administrative support staff person for the Executive Vice President and the Development and Alumni Engagement Division.

ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES: Employment duties include, but are not limited to the following:

Provide direct support to the Executive Vice President; these duties include, but are not limited to, management of the EVP’s Outlook calendar, scheduling meetings with both internal and external constituents, preparing agendas, taking minutes, compiling, and preparing meeting and presentation materials as needed, composing correspondence and fundraising proposals, and making travel arrangements
Coordinate University Leadership and Cabinet meetings and communications on behalf of the EVP
Schedule, prepare, and coordinate Board of Trustees Financial Health Committee meetings, which includes management of the committee’s OnBoard Board portal
Provide outreach to alumni, donors, and friends of the university to secure visits for the EVP with major gift donors and prospects
Provide support to the Director of Strategic Initiatives and Campaign Manager on special initiatives as needed
In coordination with the Director of Strategic Initiatives and Campaign Manager, assist with the management of the EVP and Chief of Development’s portfolio, and coordinate donor visits with the President which includes making travel arrangements and coordinating briefings for the President
Work closely with Development Operations and Prospect Research to keep EVP updated on portfolio constituents, which includes review of pledges, opportunities, and fundraising totals
Maintain Development & Alumni Engagement personnel records and manage and maintain salary and expense budgets
Management of the Division’s Microsoft Teams/SharePoint document storage and communication platform
Responsible for talent management onboarding to offboarding
Coordinate internal staff events for the Development & Alumni Engagement Division, i.e. holiday luncheon, planning meetings /workshops, retreats, and etc.
Handle telephone calls and visitors on behalf of the EVP, providing information and assistance when appropriate
Serve as liaison between the EVP and other Development & Alumni Engagement staff members and assists in problem solving
Perform other site and position specific functions as assigned

Ability to utilize technology to its full potential with an understanding of the role AI plays in Development and Higher Education
Ability to compose effective correspondence and to perform complex office tasks without referral to a superior
Ability to make decisions in accordance with established policies and procedures
Ability to deal effectively and courteously with internal and external inquiries and complaints, through friendly and helpful communication
Ability to supervise and delegate tasks with direction from the EVP, as needed
Support the University’s Mission and Values in their role

Required Experience

A bachelor’s degree is desired; however, a combination of education and experience will be considered in lieu of the degree

Ideal Candidate Qualifications:

Experience with Microsoft Office Suite including Teams/Sharepoint
Experience working in a CRM
Experience working in a board management platform

Work Environment: Work is generally performed in an office environment with occasional events that may take place outside of the office.
