Key Responsibilities
Assist in planning and organizing daily, weekly, and monthly schedules for internal teams, clients, and external partners.
Coordinate and manage appointment bookings, ensuring optimal time management and resource allocation.
Monitor schedules for conflicts or inefficiencies and proactively make necessary adjustments.
Communicate schedule updates, changes, and confirmations to relevant parties via email, phone, or internal messaging systems.
Maintain accurate scheduling records and documentation within company databases and scheduling software.
Assist with scheduling meetings, conference calls, and virtual appointments, including sending reminders and follow-ups.
Provide administrative support to the scheduling team, including data entry and reporting.
Collaborate with various departments to ensure alignment of schedules with company priorities.
Troubleshoot scheduling conflicts and provide solutions to ensure seamless operations.
Adhere to company policies and procedures regarding scheduling and confidentiality.
Qualifications & Skills
High school diploma or equivalent.
Previous experience in scheduling, administrative support, or coordination roles is a plus.
Strong organizational and time-management skills.
Proficiency in scheduling software and office productivity tools.
Excellent written and verbal communication skills.
Ability to multitask and work efficiently under pressure.
Strong attention to detail and problem-solving abilities.
