Job Overview
We are seeking a dedicated and organized Office Assistant to join our team. The ideal candidate will play a crucial role in ensuring the smooth operation of our office by providing administrative support and assisting with various tasks. Responsibilities
Answer and manage incoming calls using phone systems, demonstrating excellent phone etiquette.
Assist in scheduling meetings and managing calendars for staff members.
Provide clerical support, including filing, data entry, and document preparation.
Maintain office organization and cleanliness to promote a productive work environment.
Handle correspondence and communicate with employees in a professional manner.
Support the HR team with scheduling orientations and other inquiries if applicable.
Assist HR to manage employee files, update their information when needed, and help with reviewing applications.
Execute HR office projects to stay compliant with guidelines.
Utilize computer systems for data management and reporting, ensuring accuracy in all entries.
Assist with office management tasks, including inventory management and supply ordering.
Qualifications
Proven experience as an Office Assistant or in a similar administrative role is preferred.
Familiarity with phone systems and strong phone etiquette skills are essential.
Bilingual candidates are highly encouraged to apply for enhanced communication capabilities.
Strong organizational skills with the ability to prioritize tasks effectively.
Proficient typing skills with attention to detail in all written communication.
Experience in clerical duties or as a dental receptionist is a plus.
