As a BMC Commercial Office Administrator, you are responsible for supporting the property management and engineering staff with various administrative tasks. You act as a liaison between management, tenants and vendors, assisting the Property Manager in all aspects of property management and operations for the Virginia portfolio, carrying out specific duties in a timely and cost-effective manner. This position will not have supervisor responsibilities.

Primary Responsibilities*

Greet visitors and answer telephone calls in a polite, timely and professional manner. Provide excellent customer service to tenants and visitors
Manage and assign key fobs for tenant access requests, including office suites and shared amenities such as fitness facilities
Assist the Property Managers with addressing tenant concerns
Respond to tenant maintenance calls and dispatch to appropriate engineering team member or day porter
Open, read, route and distribute incoming mail or other materials
Create correspondence/memos to tenants regarding maintenance responsibilities, etc.
Maintain updated tenant contact list for properties
Keep up-to-date security and parking access lists
Upload/code property invoices for Property Managers’ review and approval via Nexus. Field calls from vendors and research past due / unpaid invoices
Assist in the process of tenant billbacks for utility use
Actively look for ways to help others, and assist staff with various projects as needed
Other duties as trained for and are qualified to do
Excellent attendance is required to perform the essential functions of this position

Administrative

File miscellaneous documents to/from tenants, contractors, etc. on BMC Share Drive
Handle security administration requests
Assist with vacant space turnovers, coordinating in-house and/or contractor services
Any miscellaneous correspondence required by Senior Property Managers and engineers
Ordering all office supplies and keeping the kitchen and supply room stocked

Education and Experience

Prior office administration experience
Highschool Diploma
Bachelor’s degree preferred
Yardi experience preferred (property management accounting software )
Nexus Payables system experience preferred (invoicing software)
