JOB DESCRIPTION
Job Title: FRONT OFFICE COORDINATOR
Reports To: LEAD CASE MANAGERS
ESSENTIAL FUNCTIONS:
Prompt response to incoming calls in a pleasant and professional manner
Meet and greet visitors and client members in a pleasant manner
Take complete and accurate messages
Set appointments for client services
Date stamping of out going communication (mail, faxes, shipments, etc.) and distribution of in-coming communication.
Office support and assistance for direct care staff
Provide direct services, as appropriate
Filter and/or answer incoming client questions to appropriate staff members
Order agency office supplies, under the direction of the Finance Manager
Maintain a clean, organized and comfortable front office area
KNOWLEDGE/SKILLS: * Work without supervision.
Be proficient and knowledgeable of the mechanics of the agency phone system.
Assist with other duties as requested by his/her supervisor.
Have excellent inter-office relation skills.
Be knowledgeable about HIV.AIDS ( attend HIV 101 provided by AFAN).
Meet and greet visitors in a pleasant manner .
Set appointments for client services staff members
Open and close front office in a timely manner in the morning, during lunch, and at end of day.
Handle all matters with the utmost respect toward confidentiality.
Maintain lobby and front desk in a neat and orderly manner.
COMPLEXITY/PROBLEM SOLVING: * Work is usually performed according to instructions or established practices.
Ability to analyze available information for the purposes of preparing reports, coordinating efforts and solving problems.
Multiple & variable well-defined assignments
Director of Programs will resolve any problems or questions.
DISCRETION/LATITUDE/DECISION-MAKING: * Duties are performed under general supervision and established guidelines.
Demonstrates common sense, flexibility and teamwork.
Tracks progress on tasks and does follow–up as needed.
May act as a resource to others to solve problems.
Refers difficult questions and unusual problems to Lead Medical Case Managers or available supervisor.
RESPONSIBILITY/OVERSIGHT –FINANCIAL & SUPERVISORY: * No direct supervision of other staff but may work in a team to complete projects.
May work with and direct volunteers, interns, or temporary staff.
Limited financial responsibility, which may include check requests, petty cash, or travel arrangements.
May purchase equipment and supplies as provided for in budget and in consultation with supervisor.
COMMUNICATIONS/INTERPERSONAL CONTACTS: * Ability to work with and communicate with a wide range of people — vendors, the public, members, donors, and other staff. Good “customer service” skills and focus.
Provides other staff with information they need to make accurate and timely decisions.
Familiarity with standard business communication.
