Responsibilities
Reporting to Director (Administration & Technology), the Associate/Senior Associate (Administration) is responsible for the following
Provide secretarial support to the Chief Executive Officer (CEO), Deputy Chief Executive Officer (Dy CEO) or Head
Schedule and manage appointments of the CEO, Dy CEO or Head and also other team members where the CEO, Dy CEO or Head are involved.
Prepare overseas travel arrangements for board directors, CEO, Dy CEO or Head and other team members and verify staffs’ overseas travel applications and expenses
Responsible for office administration of TF such as the purchase of office stationery etc.
Coordinate logistics and matters relating to Board Meetings, such as facilitating the confirmation of meetings and AGM dates, and interfacing with Trusted Services for compilation and circulation of papers in a timely manner.
Coordinate the signing of programme grant agreements following approval by the Board
Processing of invoices
Minute-taking at meetings such as board committee meetings
Facilities support for office maintenance matters
Provide other administrative support and event support at Temasek Foundation events when needed
Requirements
Diploma in any discipline
Proficiency in MS Office applications
A good command of English is required
Good coordination skills and resourceful
Have a sharp eye for details and able to produce neat, well-organized paperwork
A team player and able to handle tasks independently as well
