We are looking for an experienced Australian Payroll Administrator to manage weekly end-to-end payroll processes for our blue-collar workforce. This role requires strong Australian payroll knowledge, experience interpreting awards and overtime requirements, and the ability to accurately reconcile payroll data across multiple systems.
This is the first Virtual Assistant role within the business, making it an excellent opportunity for someone who can work independently, maintain accuracy, and contribute to process improvements.

Key ResponsibilitiesPayroll Processing
- Manage weekly end-to-end payroll processing for all employees.
- Review and validate payroll data prior to processing.
- Ensure accurate calculation of wages, allowances, overtime, and travel payments.
- Identify and verify hours that attract overtime rates under applicable awards.
- Process payroll adjustments and corrections as required.
Payroll Reconciliation & Compliance
- Cross-reference employee timesheets, trackers, and payroll records.
- Review payroll discrepancies and investigate variances.
- Ensure compliance with Australian payroll legislation and award requirements.
- Maintain accurate payroll records and employee data.
Systems Administration
- Update employee pay rates in Xero.
- Maintain employee records within Employment Hero.
- Process pay rises and pay review changes.
- Support payroll data management across Xero and internal systems (including Lim Pro).
- Assist with improving and streamlining manual payroll processes.
Award Interpretation
- Apply and interpret the Plumbing Award and other relevant blue-collar awards where required.
- Verify overtime, allowances, travel payments, and other award entitlements.
- Ensure employees are paid correctly according to applicable employment conditions.
Ad Hoc Administration
- Support payroll-related reporting and administrative tasks.
- Assist management with payroll queries and employee pay matters.
- Complete additional payroll and HR administration tasks as required.
Essential Requirements
- Proven Australian payroll experience (mandatory).
- Experience processing end-to-end payroll.
- Previous experience in the construction industry
- Strong understanding of Australian Awards, particularly blue-collar or trade-based industries.
- Experience with Xero Payroll.
- Experience using Employment Hero.
- Ability to interpret overtime rules, allowances, and award conditions.
- High level of accuracy and attention to detail.
- Strong reconciliation and data validation skills.
- Excellent written and verbal English communication skills.
- Ability to work independently and manage priorities effectively.
Desirable Experience
- Experience with weekly payroll cycles.
- Experience working with time-tracking systems and payroll reconciliations.
- Experience identifying opportunities to reduce payroll inefficiencies and unbillable wage costs.
