Author Personal Assistant Jobs in Remote at Bold Books Publishing

Shen Milsom & Wilke, LLC is seeking an organized, detail-oriented Administrative Assistant to join our New York City office team. The candidate will work closely with the office leadership, business developers, and technical staff. In this role, you will need to work well in a team environment, be able to represent the manager/group with professional courtesy and acumen, and deliver flawless work output. The ideal candidate will have enthusiasm, drive, and initiative, with an ability to multitask and manage time effectively. Strong written and organization skills and attention to detail are required. Must be a creative visionary and possess an exceptionally strong presence with polished communication and interpersonal skills.

RESPONSIBILITIES:

Provide support to all meetings, including the preparation of agendas, attendee lists, material packages, logistical support of meetings, and the recording and distribution of minutes.
Track follow-up items from meetings and work closely with senior leadership to ensure completion within an appropriate timeframe.
Support more experienced level leaders with daily administrative tasks and interact with more experienced leaders across the organization.
Research, collect, and analyze information, and generally aid the senior leadership in ongoing projects and initiatives. Assists with proposals, research, or other client development requests.
Aid in the compilation, creation, and editing of reports and presentations.
Coordinates catering and logistics for meetings and company events.
Schedule both international and domestic travel
Maintain collegial and professional relationships with all SM&W offices and departments, members of the Board, and with all external parties and agencies.
Manage calendars, prioritizing inquiries, and troubleshooting conflicts to ensure effective engagements.
Work on special projects or related duties as assigned.

EXPERIENCE / KNOWLEDGE:

2-year degree or equivalent experience.
1-3 years of administrative and general office experience, A/E/C field preferred.
A self-starter with a proactive approach to day-to-day operations of office needs
Strong professional client service and telephone skills.
Conscientious and flexible, with a strong work ethic and team-player attitude.
Strong interpersonal skills and the ability to interact and communicate with C-suite external clients, Senior leadership, and other team members.
Ability to articulate clearly and concisely in both written and oral communication.
Ability to multitask and adapt to situations quickly.
Serves as an extension of senior leadership adapting to a culture of partnership, teamwork, results orientation, and professionalism.
Demonstrates proficiency with domestic and international travel arrangements.
Ability to adhere to confidentiality practices and guidelines.
Experience supporting multiple managers with calendar management, travel arrangements, and scheduling of meetings and events.
Proven proficiency in Microsoft Office Suite skill. Previous experience using Deltek Vantage is a plus.
Knowledge of InDesign, and/or Photoshop a plus, but not required.

Annual Salary Range: $60k – $85K: Dependent on skills, experience, and region.
