Role Description This is a full-time, on-site Technical Back Office Manager role based in Mumbai. The Back Office Manager will oversee daily administrative and operational activities, ensuring that documentation, records, and internal processes are accurate, organized, and up to date. Responsibilities include supervising back-office vendors, coordinating office workflows, managing correspondence and vendor interactions, and maintaining schedules, databases, and filing systems. The Back Office Manager will also implement process improvements, support internal reporting, uphold office policies, and collaborate with leadership to ensure smooth operations that align with the organization’s mission and growth.
Job Title: Technical Operations Assistant – Learning Systems & Program Delivery
Role Summary
We are looking for a highly organized and tech-savvy Technical Operations Assistant to manage the backend execution of our digital learning and coaching programs. This role is critical in ensuring seamless session delivery, content management, and platform operations across our learning ecosystem.
You will act as the execution backbone—handling live session tech, content uploads, and system workflows—so that the coaching experience remains smooth, premium, and scalable.

Key Responsibilities
1. Live Session & Zoom Management
* Set up, schedule, and manage Zoom sessions for coaching programs
* Ensure smooth execution of live sessions (waiting room, recordings, participant management)
* Troubleshoot basic technical issues during sessions
* Coordinate with host/speaker for session readiness
2. Recording & Content Management
* Download session recordings from Zoom promptly
* Edit/trim videos (basic level if required)
* Upload videos to the learning platform (e.g., LMS, Google Drive, Kajabi, etc.)
* Organize content systematically (module-wise, session-wise)
* Maintain content library hygiene and version control
3. Learning Platform Operations
* Manage backend of the learning system (course uploads, module structuring)
* Ensure all course materials (videos, PDFs, assignments) are updated and accessible
* Set up drip content, access permissions, and user journeys
* Monitor platform performance and user access issues
4. Program Operations & System Management
* Maintain trackers for sessions, attendance, and content uploads
* Coordinate with the internal team for program schedules and updates
* Ensure all systems (Zoom, LMS, communication tools) are aligned and functional
* Support onboarding of new participants (access, links, instructions)
- Support finance-related tasks such as invoice tracking, expense documentation, basic reconciliations, and coordination with accounting partners
5. Process Optimization
* Build SOPs for recurring tasks (session setup, uploads, workflows)
* Create automation apps for learning processes on Lovable.app and other AI enabled Apps and Systems
* Suggest improvements to enhance efficiency and reduce manual work
* Maintain documentation for systems and processes

Required Skills & Qualifications
* 1–3 years of experience in operations, tech support, or learning program management
* Strong familiarity with tools like Zoom, Google Drive, LMS platforms (Kajabi/Teachable/Thinkific preferred)
* Basic video handling/editing knowledge
* High attention to detail and strong organizational skills
* Ability to troubleshoot basic technical issues independently
* Proactive, reliable, and execution-focused mindset
