**POSITION SUMMARY**
The Benefits Administrative Assistant supports the day-to-day administration of Stratus HR's employee benefits programs, including medical, dental, vision, life insurance, 401(k), FSA/HSA, and voluntary benefits. This role serves as a primary point of contact for employee benefit inquiries and plays a key role in ensuring accurate, timely enrollment processing and data management. The ideal candidate is organized, detail-oriented, and passionate about delivering an exceptional employee experience.
**KEY RESPONSIBILITIES**
- Assist with annual open enrollment processing, including employee communications, data entry, and HRIS updates
- Serve as a first point of contact for employee inquiries related to benefits eligibility, coverage details, and claims support
- Process new hire benefit enrollments, qualifying life event changes, and termination offboarding within required timeframes
- Coordinate with benefits vendors, carriers, and brokers to resolve billing discrepancies, eligibility issues, and claims concerns
- Maintain accurate and up-to-date employee benefits records in the HRIS platform
- Prepare and distribute benefits communications, enrollment guides, and educational materials
- Support ACA compliance reporting, documentation, and annual filing activities
- Administer COBRA notifications and maintain required documentation per federal guidelines
- Process benefits invoices and reconcile monthly carrier billing statements
- Assist with 401(k) plan administration, including loan requests, hardship withdrawals, and enrollment
- Maintain strict confidentiality of employee health and benefits information in compliance with HIPAA and company policy
- Support the HR team with special projects, audits, and administrative tasks as assigned
**REQUIRED QUALIFICATIONS**
- High school diploma or equivalent required; Associate's or Bachelor's degree in Human Resources, Business Administration, or a related field preferred
- 1–2 years of experience in HR, benefits administration, or a related administrative role
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook); comfort with spreadsheets and data entry
- Strong attention to detail with a high standard for data accuracy
- Excellent written and verbal communication skills
- Ability to handle sensitive and confidential information with discretion
- Strong organizational skills with the ability to manage competing priorities and meet deadlines
**PREFERRED QUALIFICATIONS**
- Experience working with an HRIS platform (e.g., ADP, Workday, Paylocity, or similar)
- Familiarity with benefits-related regulations including ERISA, ACA, HIPAA, and COBRA
- Professional HR or benefits certification (PHR, SHRM-CP, or CEBS) in progress or completed
- Experience in a PEO or HR services environment is a plus
**WORKING CONDITIONS**
- Full-time, Monday–Friday; standard business hours
- May require occasional extended hours during open enrollment periods or special projects
- Primarily office-based with hybrid flexibility dependent on business needs and team schedule
