Job Summary
We are seeking a detail-oriented and proactive Bid Administrator to manage and support the preparation, coordination, and submission of bids and proposals. The ideal candidate will have experience in tendering processes and the ability to handle multiple deadlines while ensuring compliance and accuracy in all submissions.
Key Responsibilities
- Manage the end-to-end bid process, including preparation, coordination, and submission of tenders and proposals
- Review tender documents to identify key requirements, deliverables, and submission criteria
- Coordinate with internal departments (sales, finance, legal, and technical teams) to gather necessary information
- Ensure all bid submissions are complete, compliant, and submitted within deadlines
- Maintain and update bid documentation, templates, and company credentials
- Track bid progress, deadlines, and outcomes, and maintain accurate records
- Prepare and format proposal documents to a high professional standard
- Monitor tender portals and identify relevant opportunities
- Support post-bid analysis, feedback collection, and reporting
Requirements
- Bachelor’s degree in Business Administration, Marketing, or a related field
- 1–3 years of experience in bid administration, tendering, or proposal coordination
- Strong organizational and time management skills
- Excellent written and verbal communication skills
- High attention to detail and accuracy
- Proficiency in Microsoft Office (Word, Excel, PowerPoint)
- Ability to work under pressure and manage multiple deadlines
Preferred Skills
- Experience with tendering platforms and procurement systems
- Basic understanding of contracts, commercial terms, and compliance requirements
- Familiarity with document management systems
- Strong coordination and stakeholder management skills.
