Job Title-Administrative Assistant & Parts Coordinator
Location: Tennessee Aircraft Services, Jackson, TNJob Type: Full-Time
Job Summary
Tennessee Aircraft Services is seeking a motivated and detail-oriented Administrative Assistant & Parts Coordinator to join our team. This dual-role position provides essential office support while also assisting in the parts department to ensure efficient operations for our general aviation maintenance and repair services. The ideal candidate will be an organized professional with strong multitasking abilities, excellent customer service skills, and a willingness to support both administrative and aviation parts-related tasks. Aviation experience is not required but can be helpful.
Key Responsibilities Administrative Duties
Greet and assist pilots, aircraft owners, and vendors in a professional manner
Perform incoming aircraft documentation and work order setup
Answer phone calls, emails, and handle correspondence related to aircraft maintenance and parts
Maintain and update aircraft maintenance records, work orders, and logbook entries as needed
Assist with scheduling aircraft maintenance and coordinating service appointments
Manage office supplies and maintain a well-organized workspace and parts area
General housekeeping
Parts Department Duties
Assist in sourcing, ordering, receiving, and tracking aircraft parts and supplies
Process parts orders and ensure timely fulfillment for customers and maintenance technicians
Maintain accurate inventory records, including stocking and organizing aviation parts
Coordinate with aircraft manufacturers, suppliers, and vendors for part availability and pricing
Assist in managing core returns, warranty claims, and parts exchanges
Handle shipping and receiving of aircraft parts, ensuring proper documentation and storage
Qualifications & Skills
Previous experience in administrative support, inventory management, or a similar role (aviation experience preferred but not required)
Strong organizational skills with a keen eye for detail
Excellent communication and customer service skills, especially with pilots and aircraft owners
Proficiency in Microsoft Office Suite (Word, Excel) and aviation inventory software (preferred)
Ability to work independently and collaboratively in an aviation environment
Knowledge of general aviation aircraft, parts, and maintenance processes is a plus
Ability to lift up to 25 lbs. and work in both an office and hangar setting
Reliable transportation
