Due to business expansion, we are hiring an Admin & HR Assistant for our Ontario, CA warehouse, to assist with administrative and HR-related tasks.

Job ResponsibilitiesAdministrative Responsibilities:

Handle daily procurement for the ONT warehouse, including purchase approval, registration, invoice management, receiving, inspection, and potential returns.
Coordinate maintenance and repair work for warehouse facilities and equipment, track maintenance records, verify invoices, and maintain updated equipment and vendor lists.
Maintain and update the ONT warehouse Vendor List, including supplier selection and price negotiation.
Manage front desk reception, welcoming and assisting visitors.
Organize and track office supplies, conduct quarterly inventory checks, and maintain procurement records.
Supervise office cleanliness, ensuring restroom and breakroom supplies (toilet paper, soap, etc.) are replenished and cleaning issues are addressed.
Arrange and pick up weekday lunch and afternoon tea orders.
Assist in organizing warehouse team meals and snack inventory management.
Check and categorize ONT warehouse mail, including uploading details for received checks.
Coordinate property management affairs for the ONT warehouse.
Update and manage insurance records for the ONT region.
Arrange warehouse holiday decorations, posters, and announcements.
Conduct safety equipment checks, including fire extinguishers, PPE, and other safety gear.
Coordinate company vehicle maintenance and servicing.
Book flights and hotels for employees traveling to the ONT warehouse.

HR Responsibilities:

Assist in processing employee onboarding, offboarding, and transfers.
Maintain and organize employee records and document uploads.
Track attendance and payroll adjustments for ONT employees.
Facilitate HR communications, policy signings, and training sessions for ONT warehouse employees.
Provide administrative and HR support to the head office as needed.
Handle other HR and administrative tasks assigned by management.

Job Requirements:

Proficiency in Microsoft Office and Google Workspace tools.
Fluent in both Chinese and English, with the ability to communicate effectively with mechanics about equipment issues.
Strong teamwork and communication skills.
Willingness to drive for errands (e.g., picking up meals or procurement).
Ability to multitask and prioritize tasks efficiently.
Capable of working independently and collaboratively within a team.
Comfortable moving between the office and warehouse multiple times a day.
Must be legally eligible to work and file taxes.
Willing to undergo warehouse rotation training upon joining to gain an understanding of HR processes.
Ability to maintain strict confidentiality regarding HR matters.

Starting pay: $22/hour (adjustments based on performance after a 3-month probation period).

Training & Onboarding:

Upon hiring, the candidate will complete a 3-month training period at our Ontario, CA warehouse, under the guidance of the Business Partner (BP).
