Job Overview:

Vestige Carpentry specializes in historic structural, repair, and restoration carpentry.

Office Manager/Bookkeeper will work to support day-to-day operations, record management, and organization. Excellent communication and interpersonal skills required. Ability to work in a demanding environment, capacity to understand, implement, and trouble shoot computer programs and hardware, as well as a willingness to work independently or as a team are essential to successfully fulfilling this position. This position is forward facing.

Responsibilities and Requirements:

Provide administrative support to the management team, including scheduling appointments, managing calendars, and making travel arrangements

Prepare and edit correspondence, reports, and presentations

Assist with the preparation of financial documents, including invoices, expense reports, and purchase orders

Perform general accounting tasks such as data entry, bookkeeping, and maintaining financial records

Conduct research and compile data for various projects and reports

Assist with the organization of meetings and events, including coordinating logistics and preparing meeting materials

Maintain office supplies inventory and place orders when necessary

Handle incoming calls and emails, directing inquiries to the appropriate person or department

Maintain confidentiality of sensitive information

Proven experience as an Administrative Assistant or similar role

Proficiency in QuickBooks

Familiarity with financial concepts such as general ledger reconciliation, bank reconciliation, financial report writing, account analysis, tax accounting, etc.

Excellent organizational skills with the ability to prioritize tasks effectively

Attention to detail and accuracy in data entry and record keeping

Strong written and verbal communication skills

Proficient in Microsoft Office Suite (Word, Excel, PowerPoint)

Ability to work independently with minimal supervision

You may be involved in sales efforts by assisting in the preparation of bids and proposals for potential clients.

Responsible for managing the technology used by the company, such as project management software, databases, and other information systems. This will involve ensuring that the technology is up-to-date and that all users are trained on how to use it effectively.

You will need to facilitate the transfer of information between various stakeholders involved in the projects. This may include communicating with architects, engineers, contractors, and clients to ensure that everyone has the information they need to complete their tasks.
