ABOUT THE ROLE:

The Administrative Assistant will serve as a key contributor to the RHRC’s operations department, helping to coordinate communication, documentation, and workflows across the team. This individual will be detail oriented and will oversee routine administrative duties on behalf of the Director of Operations and other team members.

WORK LOCATION:

Predominantly virtual, with travel less than 20%.
Must travel to in-person team meetings (2-3 times annually).
Must be willing to travel to RHRC events as needed and upon request.

MINIMUM QUALIFICATIONS:

Requires an Associate’s degree or higher plus three years of related experience, or an equivalent combination of education and experience.
Demonstrated proficiency in Microsoft Office, Excel, SharePoint and Powerpoint.
Experience with tools such as Microsoft Dynamics and PowerBi is a plus.
Experience with electronic data entry.
Must be comfortable utilizing technology and navigating online workspaces.
Excellent interpersonal and communication skills.
Proven ability to manage multiple priorities and projects.
Demonstrated ability to contribute to a positive work culture.
Be self-directed, detail-oriented, and able to work in a fast-paced environment.
Demonstrated problem-solving skills.
Must be fluent in English, both written and verbal.
Must have reliable internet.
Experience working in a remote environment and/or non-profit setting preferred.

JOB RESPONSIBILITIES:

Administrative Support

Manage the RHRC Support Line inbox, forwarding communications to appropriate departments.
Create organizational profiles in the Stakeholder Management System (SMS) – the RHRC’s Customer Relations Management (CRM) software.
Assist with ensuring client and partner profiles remain up to date in the SMS.
Assist with document management and uploads to SMS.
Assist with testing the new software and infrastructure functionality.
Assist with communication and coordination among operational vendors, including IT, data, and HR.
Assists with research, vetting, and procurement of additional vendors, in coordination with Compliance & Contract Affairs Specialist.
Assists with SharePoint maintenance and management.
Manages RHRC Active Directory, including data entry and permissions management.
Supports senior leadership with data entry and vendor management, as needed and upon request.
Assists with the development and quality review of training materials, standard operating procedures, job aids, and other resources.
Assists with meeting coordination and preparation of materials (e.g., agendas, slides, handouts, SMS meeting notes, etc.).

Data Team Support

Assists with data entry as needed.
Assists with creating Microsoft forms for data collection, in alignment with organizational workflows. Examples may include Satisfaction Surveys, Client Intake Assessments, and more.
Assists with running reoccurring reports from SMS, PowerBi, or other reporting tools for distribution to relevant stakeholders.
Assists with Quality Review of dashboards and reports to ensure accuracy and user-friendliness.

Performs other duties as may be assigned

REPORTS TO: Director of Operations

WORK STATUS: Full-time, 37.5-hour workweek.

SALARY RANGE: $55,000 – $65,000, dependent on education and management experience.
