Overview
TJS Construction is seeking a highly detail-oriented and organized Bookkeeping/Data Entry Administrator to join our team. This role plays a critical part in the day-to-day financial operations of our business, with a focus on accuracy, accountability, and professionalism. The ideal candidate will be experienced in QuickBooks Desktop, have strong bookkeeping skills, and possess a positive and proactive attitude.
Key Responsibilities:
Accounts Payable: Process vendor invoices, verify payment terms, manage check runs, and maintain accurate records of outgoing payments.
Accounts Receivable: Generate and send invoices, apply payments, follow up on outstanding balances, and ensure timely collections.
Bank & Account Reconciliation: Reconcile bank statements, credit cards, and internal accounts on a regular basis to ensure accuracy.
Cash Handling: Record and reconcile cash and check payments, prepare bank deposits, and manage petty cash.
Payroll Support: Enter employee timecards, process payroll entries, and assist with payroll reporting. Review and audit employee-submitted time and labor data for accuracy, completeness, and policy compliance.
Income & Expense Tracking: Maintain records of all financial transactions, categorize income and expenses, and prepare reports as needed.
Inventory Management: Track and update inventory for pipe sales, plants, tires, and wholesale rock & soil products.
Customer Service: Interact professionally with customers in person and over the phone, provide billing support, and answer inquiries.
General Office Duties: Answer phones, file documents, assist with administrative tasks, and maintain an organized filing system, office cleaning
Data Entry: Accurately input financial and customer data into accounting and inventory systems.
Attention to Detail: Must be able to review work closely and catch errors before submission—accuracy is critical in all aspects of the role.
Language Skills: Spanish-speaking is a strong bonus and highly valued for customer and vendor communication.
Industry Knowledge Required:
Must have working knowledge of construction, excavation, tire sales, and nursery operations. Familiarity with industry terminology, typical workflows, materials, and customer types is essential for success in this role.
Required Qualifications:
5+ years of experience in bookkeeping, accounting, or related roles
Strong proficiency with QuickBooks Desktop is required
Comfortable working with numbers and financial data
Excellent organizational, multitasking, and time-management skills
Ability to work independently and as part of a team
Ability to work in loud environments as it is an open office setting
Must be trustworthy with confidential information
Familiarity with inventory systems is a plus
Skills
Must be able to use QuickBooks Desktop Pro Plus.
Must be able to navigate and use Google Docs.
Proficiency in double entry bookkeeping principles.
Strong 10 key typing skills for efficient data entry.
Knowledge of general ledger accounting practices.
Experience in bank reconciliation processes.
Understanding of basic accounting principles, including debits and credits.
Attention to detail with a commitment to accuracy in data management.
Excellent organizational skills and the ability to manage multiple tasks simultaneously.

Pay: $20.00 – $45.00 per hour
