Job Overview
We are seeking a dedicated and organized Receptionist/Secretary to join our team. The ideal candidate will serve as the first point of contact for our clients and visitors, providing exceptional customer service and administrative support.
Duties
Greet and welcome visitors in a professional manner, ensuring a positive first impression.
Manage incoming calls through phone systems, demonstrating excellent phone etiquette.
Schedule appointments and maintain calendars for staff members.
Perform clerical duties such as filing, data entry, and document preparation.
Assist with office management tasks to ensure smooth daily operations.
Provide support as a personal assistant when needed, helping with various administrative tasks.
Maintain confidentiality of sensitive information while managing records.
Collaborate with team members to improve office processes and efficiency.
Skills
Proficiency in using phone systems and handling multiple calls simultaneously.
Strong phone etiquette to communicate effectively with clients and colleagues.
Experience with Quickbooks
Bilingual abilities are necessary in Spanish and English
Excellent organizational skills to manage multiple tasks efficiently.
Competence in computer systems for data entry and document management.
Ability to type accurately and quickly to meet administrative demands.
Familiarity with office management practices to support overall operations.
