Position: Part-Time Administrative CoordinatorLocation: Southampton, NY

Hampton Rustic Landscapes, a well-established company in Southampton, NY, is looking for a motivated, highly organized, and detail-oriented individual to join our team as a Part-Time Office Assistant. This is a great opportunity for someone eager to learn the ins and outs of office management in a growing company. This role will evolve into a full-time position over time for the right candidate.

Position Details:

Schedule: Flexible hours, part-time, minimum of four days per week
Working Hours: Between 7:00 AM – 5:00 PM
Location: In-person (not remote or open to remote work)
Start Date: Immediate hire, must be able to start the week of April 14th, 2025

Key Responsibilities:

Assist with general office administration tasks, including organizing documents and managing filing systems
Support accounts payable and accounts receivable tasks, as well as data entry
Help maintain and organize compliance documentation and office procedures
Use Google Suite (Docs, Sheets, Gmail, Calendar) to organize and manage workflows
Assist with payroll, billing, bank reconciliations, and general office management
Learn and support various tasks across the company’s operations, including human resources, insurance policy oversight, and fleet management
Support the preparation of external and internal audits, as well as assist with pricing, cost analysis, and creating standard operating procedures

Qualifications:

Proficiency in Google Suite (Docs, Sheets, Gmail, Calendar) and Microsoft Suite (Outlook, Excel, Word) – please do not apply if you do not have this experience
Must be proficient in Quickbooks Enterprise (Desktop) or similar accounting software (no exceptions) – please do not apply if you do not have this experience
Strong organizational and communication skills
Experience in office administration or a related field
Ability to multitask and work independently in a dynamic environment
Bilingual in Spanish is a plus
